Summary:
This is a newly created and exciting role within the Development and Engagement Office at the United Kingdoms leading co-educational independent school, established as the team expands to build on its recent successes and realise its considerable future potential. Reporting to the Engagement and Events Manager, the postholder will be responsible for planning, organising, and delivering a diverse programme of events that strengthen relationships with parents, staff, Old Brightonians, donors, corporate sponsors, and other supporters.
Working closely with colleagues across the College, you will ensure that events are professionally managed from concept through to delivery, creating memorable experiences that support the College's fundraising, engagement, and stewardship objectives. This is a varied and rewarding position, ideal for an enthusiastic and proactive individual looking to develop a career in event management, or for someone with transferable event planning and coordination experience who is keen to make a meaningful impact in the third sector.
Events Coordinator General
Duties and Responsibilities:
Event Planning and Coordination Plan, coordinate and deliver a diverse programme of College events, including, alumni, parent and engagement events, ensuring they are delivered to an exceptional standard. Assist with all aspects of event planning, including venue booking, supplier liaison, catering, entertainment, audiovisual requirements, guest registration, seating plans, place cards, event materials and on-the-day logistics. Develop detailed event schedules and checklists to ensure events are delivered on time and within budget.
Work closely with internal departments and external suppliers to coordinate all event requirements and ensure seamless event delivery. Act as the principal point of contact for guests, speakers, VIPs, donors, alumni and corporate partners before, during and after events, providing a professional and welcoming experience. Coordinate invitation lists, RSVP management and guest communications, ensuring accurate records are maintained. Attend and oversee events, managing event operations and resolving any issues as they arise.
Conduct post-event evaluations, gather feedback and identify opportunities to enhance future events and guest experiences. Events Communication Draft, coordinate and manage all communications relating to Development and Engagement events, including invitations, joining instructions, reminders and post-event correspondence. Create and update event landing pages across the College websites to support event promotion and registrations. Work collaboratively with the Senior Communications Officer to integrate event promotion, content and post-event stories into the College's wider communications strategy.
Respond to event enquiries by telephone and email. Administration and Event Support Provide administrative support to the team, including activities related to development, engagement, archives, and record management. Maintain accurate event records, budgets and expenditure reports. Update and maintain constituent and event information within the College's database (Raiser's Edge), ensuring records remain accurate and up to date. Other Prepare guest information, briefing notes and event materials to support senior staff and VIP attendees.
