Location: Swindon

The post holder will provide a courteous, efficient and effective reception service to all patients, members of the public, staff and other professionals visiting or contacting the Practice. The post holder will ensure effective and timely communication with all members of the Primary Healthcare Team and will carry out all associated administrative tasks in line with Practice policies, with particular attention to confidentiality at all times.

Tasks & Responsibilities Reception & Patient Contact
  • Greet and appropriately mark patients as arrived for their appointments.
  • Answer queries from patients and visitors to the practice at reception desk.
  • Answer telephone calls promptly, dealing with requests from patients, other healthcare professionals and companies contacting the surgery.
  • Recording information onto patient records within our clinical system.
  • Making appointments as required, take messages, answer or redirect queries, and pass on accurate and complete information.
Administration
  • File and retrieve paperwork as required.
  • Provide administrative support to process repeat prescriptions with the pharmacy team.
  • Input, allocate and scan data accurately onto clinical systems.
  • Initiate contact with patients, colleagues and external healthcare agencies as necessary.
General Duties
  • Keep the reception area, notice boards and leaflet dispensers tidy and free from obstructions or clutter.
  • Support the smooth running of the practice as part of the wider administrative and reception team.

  • Report any incidents, concerns or unsafe practices immediately.
  • Ensure that their own actions do not put others at risk.

In carrying out their duties, the post holder will have access to confidential information relating to patients, staff and the business of the Practice. All such information must be treated as strictly confidential. Confidential information must only be shared with authorised personnel involved in patient care or practice operations. Any breach of patient confidentiality may result in disciplinary action, including dismissal.
