FT Recruitment are currently supporting our client to recruit for a Personal Assistant to join their team in Insch on a full time permanent basis.

Our client is looking for an experienced and highly organised Personal Assistant to support their Managing Director .This vital role involves diary management, travel & accommodation booking, KPI and performance reporting and handling administrative tasks with precision and professionalism. The ideal candidate will thrive in a fast-paced environment, demonstrating proactive problem-solving and exceptional attention to detail to ensure the smooth functioning of executive activities.

Key Responsibilities:

  • Manage the Managing Director’s calendar, scheduling meetings, appointments, and travel arrangements efficiently
  • Organise and prioritise meetings to ensure the Managing Director's time is used effectively
  • Coordinate travel, accommodation, events and external engagements where required
  • Organise leadership, departmental and other key business meetings
  • Prepare agendas, reports and supporting information ahead of meetings
  • Attend meetings where required, take minutes and maintain clear action logs
  • Assist with work across each department relating to Managing Director duties, priorities and required outcomes
  • Support departments with specific projects, initiatives or improvement activities led by the Managing Director
  • Run and maintain departmental and company KPI reporting and track performance against agreed targets and objectives
  • Support the Managing Director with special projects and business improvement initiatives
  • Coordinate company meetings, management events, client meetings and other business events
  • Support the organisation of exhibitions, conferences and corporate events where required

Skills and Experience required:

  • Previous experience as a Personal Assistant, Executive Assistant or Senior Administrative professional is essential for this role
  • Strong organisational skills with the ability to prioritize multiple tasks effectively
  • Proficiency in Microsoft Office packages such as Word, Excel and Outlook
  • Excellent typing speed and accuracy for efficient data entry and document preparation
  • Confident communicating with employees at all levels of the business
  • Comfortable following up actions and holding people accountable for agreed deadlines
  • Confident working with data, KPIs and management information
  • Able to handle confidential and sensitive information appropriately
  • Professional, approachable and comfortable dealing with customers, suppliers and external stakeholders
  • Able to work independently and use your own initiative
