Events Manager and EA to the Director of Operations

Main Purpose of the Role: The Events Manager and EA to the Director of Operations is responsible for the planning, coordination and delivery of key College events requiring collaboration across multiple teams and stakeholder groups, whilst also providing high-level executive support to the Director of Operations.

General Duties and Responsibilities Event Manager
  • Attend meetings and events as a member of the BSMT.
  • Be the central point of coordination for whole-school events and activities requiring support from multiple departments and stakeholders.
  • Act as the Event Manager for all events requiring multi-team support across Brighton College and its associated prep schools, as appropriate, ensuring effective planning, coordination and delivery.
  • Work with event owners and departmental leads to ensure all operational and logistical requirements are identified, planned and delivered effectively.
  • As directed by the Director of Operations, provide support in developing and maintaining productive relationships with external agencies, including Brighton and Hove City Council, local businesses, community groups and other key stakeholders.
  • Manage event-related budgets where required, ensuring effective financial control and value for money.
  • Chair and coordinate the Week Ahead meeting, maintaining an accurate forward schedule of events and operational activities and ensuring actions are monitored and completed.
  • Support compliance with health and safety, safeguarding, risk management and business continuity requirements in relation to events and activities.
  • Produce reports, event evaluations and operational updates to support planning, decision-making and continuous improvement.
  • Promote a culture of collaboration, customer service and continuous improvement across teams involved in the delivery of events.
Executive Assistant to the Director of Operations
  • Provide high-level executive support to the Director of Operations, managing priorities, commitments and key objectives.
  • Coordinate and proactively manage a busy diary, meetings, events and activities.
  • Act as a key point of contact, handling correspondence, enquiries and stakeholder communications with professionalism and discretion.
  • Build and maintain positive relationships with internal and external stakeholders.
  • Organise meetings, visits and events, including logistics, travel, catering and supporting documentation.
  • Prepare reports, presentations, briefing papers, communications and meeting materials.
  • Attend meetings, take accurate minutes and monitor actions, including Health and Safety Committee meetings.
  • Support budget monitoring, procurement processes and expenditure tracking in line with College procedures.
  • Assist with the planning and delivery of open mornings and key stakeholder events across the College and its prep schools.
  • Maintain effective record-keeping systems and ensure compliance with data protection requirements.
  • Provide administrative support to the wider Operations Team and cover for colleagues as required.
  • Contribute to continuous improvement initiatives, helping to enhance processes and ways of working.

  • Demonstrate outstanding attention to detail and accuracy.
  • Coordinating large-scale events, open mornings, exhibitions, conferences or hospitality events.
  • Working with external agencies, local authorities and community stakeholders.
  • Be calm and resourceful under pressure.
  • Be able to work independently while also operating effectively as part of a wider team.
  • Demonstrate a high level of professionalism, integrity and discretion.
  • Genuine enthusiasm for creating exceptional stakeholder and visitor experiences.
  • Collaborative approach with the ability to influence and bring teams together to achieve shared objectives.
Hours of Work

Monday to Friday, 8.30am to 5.00pm with a 60-minute unpaid lunch break (37.5 hours per week).

Remuneration

The salary for this role is £32,000 - £34,000 per annum.

Holidays

23 days, plus bank holidays increasing to 28 days plus bank holidays after 2 years of service.
