Job Description & How to Apply Below
Location: Wiveliscombe

WCI Group is creating a new Office Manager role at our Wiveliscombe office. The business-support work that keeps the company running is currently shared across several busy people, and this role brings it together under one owner: customer service, Director support, HR administration, insurance and company administration, facilities, office systems, health and safety, and support for accreditations and bids.

Reporting to a Director and working closely with the Operations team, you'll support all four of our divisions, freeing our Directors and engineers to focus on clients and project delivery.

It's a broad, hands-on role with real autonomy to shape how the office runs and put your own processes in place.

  • Act as the first point of contact for calls, visitors and general enquiries, directing them to the right division
  • Handle general customer queries and coordinate the customer complaints log with our Sales Administrator
  • Manage Directors' diaries and coordinate board and management meetings, including agendas and minutes
  • Coordinate internal communications and prepare monthly business-support KPIs, such as absence, training compliance and office costs
  • Coordinate recruitment administration, onboarding and leaver processes, and maintain confidential personnel, holiday and absence records
  • Run the annual appraisal cycle and keep the Employee Handbook, HR policies and role documents up to date
  • Book training, track certifications and expiry dates (such as CSCS, SMSTS and NRSWA) and support professional institution memberships
  • Maintain the company insurance schedule and the register of contracts, leases and licences, and support Companies House and statutory record-keeping
  • Run the office premises, including access and security, maintenance, cleaning, utilities and welfare facilities
  • Procure office supplies and manage service contracts such as telephony, printing, broadband and waste
  • Act as first-line IT contact, manage user accounts and licences, and look after the document management system and standard templates
  • Maintain office fire safety, first aid, DSE and PAT arrangements, and support staff wellbeing initiatives and events
  • Support ISO 9001, 14001 and 45001 and supply-chain accreditations such as Construction line and CHAS/SSIP
  • Maintain our bid library and help teams compile and submit tenders on time

You'll receive full training on Construction Manager, our business management system.

If you don't already hold them, we will fund relevant qualifications such as IOSH Managing Safely, CIPD Level 3, first aid and fire warden training under a training agreement.

You'll also have access to ongoing training, development and upskilling throughout your time with us.

This role suits an organised all-rounder with experience in office management, EA or business support, ideally in an SME where you've covered several functions at once.

You’ll be comfortable moving between a customer call, an insurance renewal and a new starter's first day and as confident working with Directors as with engineers, suppliers and customers.

The role involves confidential personnel and company information, so discretion and sound judgement are essential. Above all, it suits someone who spots what needs doing, gets on with it and is always looking for a simpler way of doing things.

  • Proven experience in an office management, EA or business support role, ideally covering several functions in an SME
  • Hands‑on HR administration experience, including recruitment, onboarding and leavers, personnel, absence and training records
  • Strong organisational skills, with the ability to manage competing priorities and hard deadlines such as renewals and tenders
  • Excellent written and verbal communication, and confidence liaising with Directors, staff, suppliers and customers
  • Highly IT literate in Microsoft Office (Excel, Word, Outlook, Teams and SharePoint), and comfortable with first‑line IT troubleshooting
  • Discretion and sound judgement when handling confidential personnel and company information
  • Experience in a construction, engineering, utilities or professional services environment
  • Experience supporting ISO 9001, 14001 or 45001 systems, or accreditations such as Construction line and CHAS/SSIP
  • Experience of insurance renewals, contract registers or Companies House administration
  • Experience compiling PQQ or tender documentation
  • A relevant qualification, such as IOSH Managing Safely, CIPD Level 3, fire warden or first aid
  • Familiarity with ERP or CRM systems
  • Based within a 60‑minute commute of our…
