Job title: Finance Officer

Job Purpose:

The Finance Officer will be based at Phoenix House, Blaina and will play a crucial role in supporting the financial operations of the charity, ensuring the organisation can continue delivering life-changing support for individuals and families affected by domestic abuse. Reporting to the CEO, the Officer will keep the day-to-day finances accurate and up to date, processing invoices, income, balances and payments, and supporting bank reconciliations, credit control, and year-end preparation.

It is a role for someone who takes real pride in getting the detail right, and who wants their work to make a tangible difference.

The post holder will support accurate financial administration across the organisation, including purchase and sales ledger activity, income processing, supplier payments, finance queries, project budgeting support and routine reporting for the CEO and Board of Trustees.

This role requires a highly organised, accurate and proactive individual who is confident working with financial systems, sensitive information and colleagues across a values-led charity.

Key Responsibilities

1. Finance

  • Processing purchase and sales invoices, company debit cards and expenses.
  • Processing income received through various channels, and investigating variances and queries.
  • Supporting payments to suppliers and petty cash transactions.
  • Supporting the preparation of monthly bank reconciliations.
  • Assisting with year-end accounts preparation and supporting the auditors.
  • Supporting the production of the debtors list and helping with credit control.
  • Processing transactions accurately using Xero.
  • Resolving a range of day-to-day finance queries.
  • Assist in providing accurate budgets for new projects.

2. Finance Reporting and Organisational Support

  • Support the CEO with finance-related projects, financial information requests and budget preparation as required.
  • Produce regular finance reports and information for the Board of Trustees.
  • Assist with finance information required for the Annual Report and other statutory or compliance reports.
  • Maintain organised finance records and respond professionally to finance-related queries from colleagues, suppliers and stakeholders.

3. General

  • Undertake relevant training as required.
  • Work in accordance with the organisation s policies and procedures.
  • Any other duties by mutual agreement with line manager or CEO.

Requirements

Phoenix DAS is looking for someone who is accurate, organised, and comfortable working with numbers:

  • Proven experience in a finance or bookkeeping role, with strong numerical skills and attention to detail.
  • Excellent organisational skills, with the ability to manage and prioritise a varied and busy workload.
  • Proficient in the use of MS Office 365.
  • Able to communicate effectively and professionally, both verbally and in writing.
  • Integrity to maintain the highest of ethical standards and confidentiality of sensitive financial information.
  • An analytical thinker with strong problem-solving skills.
  • Experience of XERO, and a good understanding of VAT and charity finance, are desirable but not essential.

Reports to:

Chief Executive Officer

Responsible for: no roles currently but with possibility of additional responsibility over time

Lines of Accountability

The Finance Officer will be directly accountable to the Chief Executive Officer and will attend regular support and supervision sessions. The post holder will work closely with the CEO, Board of Trustees and relevant colleagues to ensure timely, accurate and confidential financial administration.

Monitoring and Evaluation

The post holder will be expected to keep accurate records of their working hours and work undertaken. They will also be required to attend and take part in regular supervision, staff meetings, and Board/Committee meetings.

Person Specification Finance Officer

Experience and Knowledge

Proven experience in a finance, bookkeeping or similar financial administration role, with strong numeracy and attention to detail. (Essential)

Confident use of Microsoft Office 365 and digital systems to support accurate record keeping and reporting. (Essential)

Experience of Xero and a good understanding of VAT, charity finance or charity governance. (Desirable)

Knowledge of domestic abuse, safeguarding and GDPR in a charity or support-service setting. (Desirable)

Skills and Abilities

Excellent organisational and time-management skills, with the ability to prioritise a varied workload and meet deadlines. (Essential)
