Main duties of the job
- Provide efficient reception function including specific administration duties.
- Ensure the front‑of‑house service of meeting and greeting is welcoming and portrays high quality, professional, patient‑focused care.
- Maintain high focus on customer satisfaction by dealing with queries quickly and accurately, applying emotionally conscious responses as relevant.
- Deal with patients and visitors in a courteous manner, ensure matters are dealt with efficiently, provide effective management to patient demand, and reduce undue delay or queues at the front desk/phones.
- Work to protocols regarding booking appointments, repeat prescriptions, ordering patient transport including emergency ambulances, and all other duties explained by the Patient Services Manager.
- Deal with general queries and liaise effectively with clinicians and other staff as required.
- Support clinicians during their clinics by dealing with their queries and tasks as requested (e.g., stocking rooms, following up appointments).
- Provide chaperoning service when requested by clinician or patient.
- Ensure patient confidentiality, including proper use of the computer system and visibility of the screen, and transfer of written and verbal communication.
- We are recruiting for two part‑time receptionists
- Position 1:
Monday, Tuesday, Thursday 12:30‑18:30;
Friday 8:00‑18:30 (Total 28 hours). - Position 2:
Monday, Wednesday, Friday 8:00‑18:30;
Tuesday 8:00‑15:00 (Total 36.5 hours).
- Communication skills, both written and verbal
- Competent use of IT
- Ability to deal confidently and courteously with people both in person and over the telephone
- Ability to work flexibly as a team member
- Able to work on own initiative and prioritise workload
- Empathetic, honest, caring
- Diplomatic and considered
- Able to work under pressure
- Competent in the use of System One
- Experience working in a patient‑focused environment
- An understanding, acceptance and adherence to the need for strict confidentiality
- Reception experience in General Practice or the NHS
- GCSE English language, grade C or above (or equivalent)
- Working knowledge of Microsoft Office applications
