Location: Watnall

We are recruiting for a Parts, Purchasing & Stores Administrator to join a well-established engineering business based at their East Midlands branch.

This is a varied and hands‑on position combining administration, purchasing, parts sourcing and stores management. Approximately 60% of your time will be spent managing administrative and purchasing responsibilities, with the remaining 40% spent working within and managing the stores area.

You must also have a valid driving license as you will be required to drive the company van from time to time.

The Role

You will be responsible for managing parts from initial enquiry and sourcing through to ordering, receiving, storing and ensuring they are ready for engineers when required.

Working as part of a small and supportive team, you will play a key role in ensuring engineers have the correct parts, materials, tools and equipment they need to complete their jobs efficiently.

Duties/Responsibilities
  • Sourcing parts, materials, tools and equipment for engineers
  • Obtaining quotes from manufacturers and suppliers
  • Comparing pricing and availability
  • Sending quotations to clients where required
  • Ordering parts through main manufacturer online portals
  • Sourcing specialist or harder‑to‑find parts from smaller suppliers where necessary
  • Processing and managing orders
  • Marking up parts appropriately
  • Maintaining accurate records and updating internal systems
  • Receiving deliveries into the branch
  • Checking deliveries and ensuring parts are correctly received
  • Putting parts, materials and equipment away within the stores area
  • Organising and maintaining stock within the stores
  • Preparing and allocating parts ready for engineers to collect for upcoming jobs
  • Ensuring engineers have the correct parts and equipment at the right time
  • Maintaining a clean, organised and efficient stores environment
  • Supporting with stock control and inventory management
Stores Responsibilities

Around 40% of your time will be spent within the stores area. You will be responsible for receiving deliveries, moving stock, organising parts and ensuring items are correctly stored and readily available for engineers. Some parts and equipment can weigh up to approximately 30-40kg, so you must be comfortable with manual handling and working in a practical, hands‑on environment. You will also need to hold a full UK driving license.

Occasionally, an engineer may require a part urgently whilst working on a customer site. In these instances, you may be required to deliver the part directly to the engineer to allow them to continue with the job using the company van.

You will also need
  • Strong administrative and organisational skills
  • Experience sourcing products and obtaining quotes from suppliers
  • Good computer skills and confidence using online supplier portals and internal systems
  • The ability to manage multiple tasks and priorities
  • Confidence working independently and as part of a small team
  • Experience of stock control or stores management
  • Comfort with manual handling and moving heavier items where required
  • A full and valid UK driving licence

Experience with in the Refrigeration and Air Conditioning industry would be advantageous but is not essential
