Ulverston Medical Practice is looking for an enthusiastic, friendly and motivated Business Administrator to join their team this September.

In this role, you will be one of the first points of contact for patients and visitors, providing a professional, welcoming and efficient service both in person and over the telephone. You will work as part of a busy multidisciplinary team, supporting patients to access the most appropriate service or healthcare professional, while carrying out a wide range of reception and administrative duties.

This is a varied role within a busy healthcare environment and would suit someone who enjoys working with people, is well organised and can communicate confidently and professionally.

Key Responsibilities
  • Acting as the first point of contact for patients and visitors to the practice
  • Providing a welcoming, friendly and professional service in person and over the telephone
  • Receiving, assisting and directing patients to the most appropriate service or healthcare professional
  • Processing confidential telephone requests for appointments, home visits and telephone consultations
  • Responding appropriately to urgent and emergency calls
  • Booking and managing patient appointments
  • Assisting patients with queries regarding appointments, referrals and secondary care
  • Registering new patients and completing the necessary identity checks and documentation
  • Processing temporary resident requests in line with practice procedures
  • Maintaining and updating confidential patient information accurately
  • Processing incoming and outgoing post and correspondence
  • Filing, retrieving, scanning and securely shredding documents
  • Processing repeat prescription requests in accordance with practice guidelines
  • Processing requests for online services and prescription nominations
  • Taking messages and passing information to the appropriate member of the team
  • Providing clerical and administrative support to clinical and non-clinical staff
  • Using practice systems, including EMIS Web, Docman and Microsoft Office
  • Entering, recording and managing information accurately
  • Responding to enquiries from patients, colleagues and external healthcare organisations
  • Escalating patient concerns and complaints appropriately
Confidentiality & Data Protection

You will regularly have access to sensitive and confidential information relating to patients, carers, colleagues and the practice.

  • Maintaining a high level of confidentiality at all times

  • Following practice policies and procedures relating to confidentiality and data protection
  • Working in accordance with relevant data protection legislation and GDPR requirements

  • Reporting any health and safety or infection control concerns when identified

Working Hours:
Monday–Friday: 10:30am–6:30pm

Annual Leave Entitlement:
21 days

GCSEs in English and Maths (Grade C/4 or above) or equivalent preferred but not essential
