Job Title
Payroll Administrator
Job TypePart‑time – starts 24 hours per week; transition to full‑time in ~6 months.
Reports ToFounder / Director
SummaryProcesses and prepares semi‑monthly payroll and commission checks, payroll‑related reporting (benefits, garnishment, and employee verification), and other payroll information requests.
Responsibilities- Comply with regulatory standards, policies, and procedures for payroll.
- Maintain up‑to‑date knowledge of the payroll processing system and related wage and tax laws.
- Interface with HR on new hires and employee benefit deductions.
- Assist with bi‑monthly payroll processing.
- Create, run, and edit internal management reports using Excel and Quick Books.
- Distribute payroll‑related reports to the appropriate parties.
- Ensure correct employee contributions for medical, dental, 401(k) and other benefits.
- Verify time‑card completion, securing all approval signatures and resolving discrepancies.
- Enter time and attendance data into the payroll system.
- Review entered hours for discrepancies or errors.
- Process employee garnishments (wage garnishments, child support, levies).
- Disburse final paychecks and ensure compliance with federal and state laws.
- Investigate and resolve payroll inquiries.
- Maintain accurate payroll records and assist with internal/external audits.
- Process staff termination or resignation payroll, including final checks.
- Provide excellent service to employees as the first point of contact for payroll issues.
- Maintain the integrity and confidentiality of the payroll system.
- Bachelor’s degree in accounting or finance (preferred).
- 3–5 years of payroll processing experience.
- Excellent verbal and written communication skills.
- Ability to handle confidential employee information responsibly.
- Strong customer‑service orientation.
- Organizational, problem‑solving, and analytical skills; able to multitask and manage competing demands.
- Independent worker who can also collaborate within a team.
- Attention to detail and sound judgment for timely decision‑making.
- Project management skills for planning, organizing, and executing assignments.
- Adaptability to constantly changing priorities with enthusiasm.
- Proficiency with Quick Books, ADP Workforce Now, payroll reconciliation, and MS Office (Word, Excel, PowerPoint, Outlook).
- Fluency in the primary workplace language; bilingual skills are a plus.
- Perform repetitive motion activities.
- Sit for extended periods.
- Lift up to 25 pounds.
- Moderately loud work setting.
