An exciting opportunity has arisen for a Team Administrator to join the Liaison and Diversion Service. Based at South West House on the St Bernard’s site in Ealing
, this role is integral to supporting the clinical team by delivering a high-quality, comprehensive administrative service.

This position requires strong communication and organisational skills, as the Liaison and Diversion team operates across a variety of settings. The successful candidate will be confident working independently and will act as a key point of contact for the service, helping to ensure smooth and efficient day‑to‑day operations.

We are looking for someone with proven experience in a full range of administrative and secretarial duties, including diary management, data collection, minute taking, and advanced word processing skills. The ability to prioritise workload, manage competing demands, and maintain attention to detail is essential.

Main duties of the job

The Team Administrator plays a key role in ensuring the smooth running of the service by delivering a high-quality, comprehensive administrative support function to the clinical team. This is a varied and rewarding role, requiring excellent organisational and communication skills.

You will act as a central point of contact, liaising with both internal colleagues and external stakeholders, including service users, to support effective service delivery. The role also involves maintaining accurate and up-to-date client records, ensuring a high standard of data management and confidentiality at all times.

Key responsibilities include coordinating and supporting monthly meetings, managing stock levels, monitoring and responding to shared email inboxes, and maintaining service databases. You will also be responsible for gathering relevant client information and supporting the team with a range of administrative tasks to keep the service running efficiently.

Person specification Qualifications & Training
  • Good standard of general education including English and Maths
  • Evidence of personal development
  • RSA, NVQ or equivalent or other management qualification.
  • Advanced keyboard skills

  • Demonstrated ability to sustain initiative and direction under difficult circumstances.
  • Ability to work within and show understanding of equal opportunities.

  • Previous experience within an NHS setting.
  • Experience with information systems and practice within the NHS.
Knowledge
  • Proficient in Microsoft Software/ office software.
  • Proficient in development, implementing and maintaining administrative systems.
  • Working with Information Technology and Data Entry systems, together with administrative systems and processes.
  • Use of databases and inputting/extracting data onto/from Excel Spreadsheets.
  • Ability to develop policy, systems and process to achieve good outcomes.
  • Knowledge of the Criminal Justice system.
  • Understanding of mental health clinical settings.
  • Understanding of psychiatric terminology.
  • Health & Safety, Fire and Security policies and procedures.
