Position: Receptionist / Administrator - Radiology Department

The post holder will be part of an administrative team whose responsibilities are to support the clinical services within the radiology department in managing the daily demand and to effectively prioritise incoming referrals into urgent and non‑urgent. The role includes coverage for Obstetric ultrasound receptions and Mount Vernon Hospital X‑ray reception.

The post holder will act as a Receptionist / Administrator to provide administrative support to Superintendents when required and provide an efficient appointment service to the department and the Trust.

The post holder will be a key member of the team and participate in the improvement plan of patient care across the department. A willingness to work across Hillingdon and Mount Vernon Hospital sites is essential.

Responsibilities
  • Represent the department as first point of contact at the reception, welcoming patients friendly and politely.
  • Use radiology clinical systems such as Soliton, PACs, Cerner & ViewPoint to support appointment booking and patient care.
  • Register new patients on Cerner and cross‑check patient demographic information with SPINE.
  • Manage request forms in date order and enter relevant booking instructions on forms.
  • Liaise with Superintendent regarding urgent appointments to comply with current targets.
  • Confirm with patients their appointment attendance to reduce DNAs.
  • Rebook or re‑arrange appointments as appropriate; liaise with Superintendent regarding unusual or additional requirements.
  • Take part in Department Audit and Staff meetings.
  • Ensure documentation is available in advance for antenatal clinic appointments.
  • Deal with GP, Midwives, Clinicians, Secretaries enquiries via telephone respectfully.
  • Cancel or reschedule clinics, contacting patients directly to cancel or reschedule appointments.
  • Liaise with Midwives, Consultants and other Departments within the hospital regarding clinics and general enquiries.
  • Perform any other business as required by the Radiology Admin Manager.
