Equine Client Service Representative

Be the welcoming voice and friendly face that clients interact with first—whether answering a call, scheduling a visit, or greeting them at the door. You’ll triage phone calls and emergencies, manage appointments, and help keep the clinic organized and inviting. This is a dynamic, client-facing role where no two days are the same, supporting services across ambulatory care, hospitalization, sports medicine, reproduction services, gastroscopy and endoscopy, pre-purchase exams, diagnostic services, lameness, and surgery.
A positive, solutions-focused mindset is essential, along with strong communication skills and a genuine passion for helping horses and their people.
Ideal candidates are team players with a strong background in client service and extensive equine knowledge. Veterinary experience is a plus and you should thrive in a role that blends organization, problem-solving, and compassion. We value flexibility, work-life balance, and a collaborative spirit.
Responsibilities- Provide compassionate, professional care to clients and patients, building trust and reinforcing the clinic’s reputation in the community.
- Maintain a respectful, collaborative relationship with veterinarians and team members.
- Triage patient calls using knowledge of common equine conditions and assessment skills to determine urgency and schedule accordingly.
- Educate and counsel clients on equine health care, treatment plans, and preventive services.
- Handle end-of-life planning and care with empathy, following euthanasia protocols.
- Deliver exceptional client service by managing phone calls, responding to inquiries, and resolving concerns.
- Schedule appointments based on priority, patient needs, and veterinarian availability.
- Record all client communications accurately and relay information to the appropriate veterinarian.
- Process invoices, payments, deposits, and assist with accounts receivable and collections.
- Maintain accurate medical records and ensure timely documentation of all services provided.
- Assist with inventory management, including ordering, receiving, labeling, and tracking medications and products.
- Perform basic laboratory procedures and packaging and preparation for send-out labs.
- Prepare, maintain, and sterilize medical equipment, including surgical packs and instruments.
- Follow office cleaning and sanitation protocols to ensure a safe, organized, and welcoming clinic environment.
- Remain adaptable to changing clinic needs, including covering duties during staff absences.
- Demonstrate strong organizational skills and the ability to multitask in a fast-paced setting.
- Exhibit reliability, punctuality, and a strong work ethic, setting high standards for performance.
- Communicate clearly and work cohesively with the veterinary team to support optimal patient care.
- Strong client service orientation and communication skills.
- Experience in customer service; equine knowledge is highly preferred; veterinary experience is a plus.
- Ability to multitask, stay organized, and work well in a fast-paced environment.
