PurposeThe Customer Service Representative is responsible for accurately processing and entering customer orders into the system. This role ensures customer satisfaction through effective communication, precise data entry, accurate pricing, timely shipping, and proactive follow‑up, including order tracking and deduction/credit resolution.
Primary Responsibilities- Respond to customer inquiries via telephone, email, or mail within 24 hours.
- Communicate client needs and agendas to colleagues and management, proactively identifying potential concerns regarding capabilities and customer requests.
- Process customer requests for price quotations, purchase orders, order modifications, adjustments, and cancellations from domestic and international customers, OEMs, and distributors.
- Utilize the ERP system to access customer information, stock status, and purchase order details, ensuring accurate data entry and retrieval.
- Troubleshoot customer issues and coordinate with appropriate departments to resolve concerns effectively.
- Monitor active orders and notify customers of key updates, including scheduling changes, partial shipments, and credit modifications.
- Analyze transactions, correct records, and oversee customer portals as needed.
- Contact customers to obtain missing order details and ensure complete and accurate documentation.
- Perform routine and semi‑routine tasks requiring sound judgment in interactions with customers, sales representatives, and internal teams.
- Leverage Microsoft Office and strong organizational skills to work independently while adhering to established office procedures and best practices.
- High school diploma or GED required; completion of at least two years of college or trade school preferred.
- Valid identification and authorization to work in the United States.
- Exceptional interpersonal and communication skills.
- Excellent written, verbal, and presentation skills.
- Ability to anticipate customer needs and foster strong relationships.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and video conferencing tools.
- Experience with Epicor or other ERP systems is a plus.
- Strong problem‑solving skills and the ability to maintain positive customer relations in various situations.
- Effective time management and the ability to prioritize multiple tasks to ensure timely completion.
- Knowledge of medical devices, manufacturing processes, and product life cycles is advantageous.
