The Department Coordinator will support the Chairman/Director with their academic and administrative needs and assist the department with their programming needs. The Department Coordinator will also coordinate the daily activities for the Department.
Responsibilities- Scheduling meetings, coordinating with practice schedules, booking conference rooms, setting up teleconferences, and preparing materials and binders.
- Keeping up with ordering of supplies for the administrative office and fellows.
- Coordinating the daily activities for the Department.
- Recruitment efforts including interview arrangement, credentialing, and onboarding.
- Overseeing and maintaining inventory levels in procedural and clinic spaces.
- Collaborating with referring physicians to maximize electronic healthcare records for efficiency and billing.
- Interacting with patients and addressing complaints or testimonies for marketing.
- Preparing daily census updates.
- Keeping attending and fellow state licenses (e.g., DEA) up to date.
- Saving and organizing CME credits on the shared drive.
- Ordering office supplies through Staples.
- Purchasing pantry items with petty cash/departmental funds.
- Assisting the department of physicians.
- Keeping all calendars, passwords, and memberships up to date.
- Scheduling and coordinating all meetings.
- Providing A/V support for virtual meetings.
- Managing WMC travel expenses and catering requests.
- Processing reimbursements for licenses, conferences, and memberships; submitting the Travel and Expense Reimbursement Form to the manager.
- Working on coverage schedules (inpatient, consult, outpatient) with physicians.
- Scheduling monthly department meetings and preparing minutes.
- Maintaining metric reports as defined by attendings and administration.
- 1-2 years of experience in administration (required).
- High school diploma or equivalent (required).
- Associates degree from an accredited institution (preferred).
- Good communication and computer skills.
