Role:
We are looking for a dynamic and customer-service oriented Receptionist / Office Assistant to support our Head Office Global Support team in our fresh, bright and friendly downtown Vancouver office. This full-time, in-office temporary role will initially be a fixed-term employment position (6 months).
As the Receptionist / Office Assistant, you will represent RLG as the first point of contact while performing multiple office duties in a professional and timely manner. As we are a small fast-paced office, we look to all of our team members to roll up their sleeves and take on whatever tasks are necessary to get the job done right.
What you will be doing:
Reporting to the Administrative team supervisor, you will work closely with the administration team and handle daily duties including:
Day-to-day reception duties and general administrative supportAnswer and direct phone calls, greet visitors and respond to general enquiries promptlyReceive and distribute all incoming mail / prepare all outgoing mail, couriers, and delivery requestsHandle requests for meeting room bookingsProvide support for meeting logistics – boardroom setup, cleanup, and catering arrangements for meetings, activities and training groupsAssist administrative team with logistics for special events and teambuilding activitiesCoordinate and arrange cake/flowers/gifts for birthday recognitions or other occasionsAssist with corporate travel bookings as requiredReconcile monthly credit card expenses and petty cashOrder, track and manage office supplies, stationary and corporate branded itemsMonitor kitchen supplies, keep kitchen stocked and tidy, and repurchase supplies when necessaryMaintain and update staff directories as neededHandle building and maintenance requestsAdditional general administrative duties as assigned.Candidates must have:
Minimum 2 years of direct experience in providing administrative support in an office environment.Friendly and positive attitude both in person and virtual.Intuitive and organized with strong attention to detail.Proficient in multitasking, taking initiative, managing priorities, and meeting deadlines with minimal supervision.Strong interpersonal skills, collaborative, and thrives in a team environment.Excellent communication skills, both verbal and written.Capable of reacting swiftly while maintaining composure under pressure.Proficiency in MS Office a must (Outlook, Teams, One Note, SharePoint, Word, PowerPoint and Excel).
