What can you expect in this role?Reporting to the Manager, Human Resources, with daily oversight from the Reception and Office Services Coordinator, the Office Services Assistant is the first point of contact for visitors and employees. This role plays a key part in ensuring smooth day‑to‑day office operations while delivering a professional and positive experience for all interactions. The role also represents the face of the business and is responsible for creating a positive and professional first impression.
The successful candidate is highly organized, approachable, and proactive, with the ability to manage multiple responsibilities while maintaining a high level of service and professionalism. They should be comfortable completing computer‑based administrative tasks within established timelines, possess strong verbal and written English communication skills, be receptive to direction, eager to learn, and proactive in supporting team priorities.
What you’ll do?- Welcome visitors, manage sign‑in procedures, and direct them appropriately
- Answer and route incoming calls, providing general company information, and monitor/log client calls and complaints for timely escalation
- Manage incoming and outgoing mail, courier services, and daily deliveries
- Maintain records for security access cards and building entry and maintain accurate records for audit purposes
- Monitor and manage the general inquiry inbox, routing requests as needed
- Assist with invoice processing and cheque tracking
- Maintain office supply levels and keep shared spaces organized and stocked
- Support meeting logistics, desk bookings, onboarding/offboarding coordination including security notifications and equipment coordination
- Provide administrative support across departments (HR, Marketing, Underwriting)
- Assist with event coordination, including logistics and catering
- Act as a liaison with building management and report facility issues
- Provide backup support to the Office Services Coordinator and assist with ad hoc tasks
- High school diploma required; some post‑secondary education preferred
- Previous office or administrative experience is an asset
- Experience using Microsoft Office applications
- Strong verbal and written English communication skills
- Excellent customer service and interpersonal skills
- Level 1 First Aid certification, or willingness to obtain, to support onsite coverage
- Organized with strong time‑management abilities
- Professional, friendly, and approachable demeanor
- Reliable with a positive, “can‑do” attitude
- Able to take direction and follow processes effectively
- Ability to work collaboratively in a team environment
- Willingness to learn and take initiative
- Ability to occasionally lift up to 30 lbs

Actual salary for the role may vary depending on work location of the successful candidate and other factors including but not limited to, skills, education, experience, working conditions and the local labour market. In addition to base pay, eligible employees may participate in various incentive plans which are paid out at the discretion of the company and subject to individual and company performance.
