We are recruiting for a Legal Assistant, Litigation to join our team in Vancouver. The successful candidate must have a minimum of 3 years’ relevant experience and experience with conflicts checks and dealing with highly confidential matters. The candidate will support lawyers with documents, calendar management, and client support. The hybrid work environment offers 4 days in-office per week.
Salary range : $65,000 - $75,000 annually.
The offered salary may vary based on the candidate’s job‑specific knowledge, skills, and experience.
- Preparing, editing, formatting, printing, scanning and revising correspondence, memoranda, litigation documents, reports, forms, labels and other printed material.
- Coordinating and dispersing tasks to various resource groups (Document Specialists, Administrative Clerks, Billing Assistants) while ensuring timely completion.
- Proofreading documents for formatting, spelling, grammar, and clarity.
- Assisting lawyers in the preparation and coordination of hearings and trials, including recording and monitoring court dates, pleadings, and filing requirements.
- Preparing court pleadings or courtroom visuals.
- Drafting, filing and serving documents in all court levels (Small Claims, Supreme Court of BC, Court of Appeal, Federal Court, Federal Court of Appeal, Supreme Court of Canada).
- Preparing arbitration materials and handling their delivery.
- Coordinating with Court Reporters and IT for prep meetings, discoveries, depositions, and cross‑examinations.
- Coordinating service and filing of proceedings with agencies and courts.
- Scheduling and coordinating discoveries, expert witnesses, and other court‑designated hearings, monitoring evidence gathering.
- Maintaining knowledge of legal terminology, court rules and procedures, including medical terminology where applicable.
- Managing files, including opening new files, maintaining complex files, and organizing legal and precedent files.
- Handling file transfers, logistics for incoming and outgoing paper and electronic files.
- Creating and maintaining client files with Records Management and Administrative Clerks.
- Managing key dates, updating calendars for assigned lawyers, meetings, appointments, due dates, and client activities.
- Coordinating lawyer travel arrangements, itineraries, and travel expense reports.
- Coordinating client meetings, scheduling rooms, and arranging catering or audio‑visual equipment.
- Reviewing and routing incoming mail and fax communications, processing outgoing mail and faxes, and arranging specialized services.
- Handling incoming calls, responding to routine inquiries, and taking messages as directed by lawyers.
- Assisting with time entry preparation and finalization on a daily basis in preparation for billing.
- Coordinating new client and matter openings (KYC) with Finance.
- Coordinating activities with functional area staff (Office Services, Marketing, etc.) as needed.
- Providing backup support when assistants are absent or managing multiple tasks under tight deadlines.
- Legal Assistant Diploma or equivalent.
- Minimum 3 years of experience as a litigation legal assistant.
- In‑depth knowledge of legal terminology, court rules, and procedures.
- Strong attention to detail with superior word‑processing, spelling, proofreading, and editing skills.
- Capacity to perform duties accurately and efficiently.
- Strong time‑management, organizational, and multi‑tasking skills; ability to work under pressure to meet deadlines.
- Ability to follow up on files and delays with minimal supervision.
- High level of discretion and confidentiality.
