PROFILEOur Vancouver office is seeking an intermediate-level, energetic, detail-oriented and highly organized Legal Administrative Assistant to join our fast-paced Corporate department on an 18-month contract.
As a key member of the team, the successful candidate will provide comprehensive administrative support to a number of professionals while managing a variety of confidential and time-sensitive matters.
The successful candidate will possess strong organizational and communication skills, exceptional attention to detail, and the ability to effectively manage multiple priorities in a dynamic environment. While guidance and direction will be available when needed, most tasks will be performed independently, making this an excellent opportunity for a proactive and resourceful individual who thrives in a collaborative, fast-paced environment.
RESPONSIBILITIES- Provide administrative and legal support to corporate lawyers, exercising initiative and judgment to facilitate the efficient flow of work and proactively following up on outstanding matters.
- Prepare, revise, format and file legal documents, correspondence, letters, memoranda and other materials based on precedents, instructions, dictation or independent drafting for review.
- Manage calendars, appointments, bring-forward systems and deadlines to ensure important dates and commitments are monitored and met.
- Liaise with clients, lawyers, and other internal and external contacts, and respond to or redirect routine correspondence and inquiries as appropriate.
- Create, organize, monitor and maintain client files, including opening and closing files, scanning, photocopying, filing, coordinating signatures and closing documents and other records management activities.
- Coordinate billing and accounting matters, including docketing, billing and other related administrative tasks.
- Prepare and submit expense reports for professionals, including organizing receipts and supporting documentation.
- Conduct LTSA, BC Registries and other searches as required.
- Prepare reports, summaries, and close books, including gathering, organizing, analyzing and summarizing information and data as required.
- Provide general administrative support and proactively identify opportunities to assist lawyers and other professionals with day-to-day administrative requirements.
- Administrative Assistant or Legal Administrative Assistant Diploma, coupled with a minimum of three years of legal administrative assistant experience;
- Demonstrated commitment to providing responsive, professional and courteous service to clients;
- Ability to produce a high volume of accurate, high-quality work while meeting tight deadlines;
- Ability to remain organized and effective while managing competing demands in a fast-paced environment;
