The Student Services Coordinator plays a key role in delivering a welcoming, supportive, and seamless student experience for students at ILSC and Greystone College Vancouver. As a primary point of contact, the coordinator provides front-line student support, responds to inquiries, assists with administrative processes, and works collaboratively with academic and operational teams to ensure students receive timely, accurate, and student-centred service throughout their studies.
Preference will be given to candidates who are proficient in Korean, Mandarin, or Japanese; however, these language skills are not a requirement for the position.
Working closely with academic teams, pathways, testing, and national student services, the coordinator supports student engagement, maintains accurate student records, and contributes to the effective delivery of student services through in-person, email, phone, app-based, and other service channels.
Key Responsibilities
Student Advising & Engagement
Provide in-person and virtual student advising and support related to academic progress, attendance, policies, and general wellbeing.Serve as a front-line point of contact at the ILSC Vancouver front desk, ensuring timely, accurate, and student-centred support.Conduct student orientations, check-ins, and engagement activities to foster connection and community.Respond promptly and empathetically to student inquiries through in-person interactions, email, live chat, and virtual meetings.Coordinate and support on-campus student activities as required.Promote and facilitate participation in campus-based and digital engagement initiatives.Support compliance by ensuring students understand visa/study permit and school policy requirements, where applicable.Academic & Administrative Operations
Manage student records, registrations, and course placements in student database.Prepare session programs, schedules, and student lists for Vancouver-based intakes.Generate and distribute regular reports related to student enrollment, attendance, and academic progress.Coordinate with Academic, Pathways, and Testing teams on attendance tracking, progress concerns, warning letters, and extensions.Maintain standardized data entry and coding practices to ensure consistency and data integrity.Issue enrolment, attendance, and academic letters as required.Support on Live Chat and service requests through the student app, as required.Academic & Administrative Operations

Post-secondary education and/or equivalent experience in education, administration, or advising.Minimum – years’ experience in student services, advising, or education administration, ideally with international students.Strong organizational, communication, and interpersonal skills.Demonstrated empathy, cross-cultural awareness, and problem-solving ability.Ability to manage multiple priorities and work independently in a remote environment.Knowledge of, and fluency in, another language (Korean, Mandarin, and/or Japanese) considered an asset.
