Status:
Full-Time, Non-Exempt: 32-40 hours per week
Compensation: $25 – $31/hour, DOE
Benefits:

Schedule:
Can be flexible, but is traditionally weekday office hours with occasional evening or weekend work for board meetings, events, or fundraisers. Some hybrid options available.

The Vancouver Farmers Market (VFM) is one of the largest and most vibrant farmers markets in the Pacific Northwest, featuring over 270 small businesses. Our Downtown flagship market operates year-round with an additional Thursday market in East Vancouver during the summer and popular Holiday market each December. Operating since 1990, VFM is a cornerstone of Vancouver, welcoming over 500,000 shoppers each year.
The VFM also offers a variety of programs focused on food access, small business development, and inspiring the next generation of entrepreneurs and healthy eaters. The Bookkeeper/Office Administrator ensures that VFM’s financial and administrative operations run smoothly and is critical to the success of our markets, supporting staff, small businesses, and the broader community. Working closely with the Executive Director, this role manages bookkeeping and finance functions, as well as supports minor grant reporting, office systems, and day-to-day operations. We are looking for someone organized, detail-oriented, and community minded, who enjoys working collaboratively and takes pride in keeping systems and processes running efficiently.
Key ResponsibilitiesAccounting & Finance (~50% of time)
- Manage accounts receivable/payable, billing, bank deposits, journal entries, and reconciliations.
- Submit payroll information and maintain accurate payroll records.
- Collaborate with market managers to reconcile weekly reports for invoices, sales, and donations.
- Support grant and contract reporting through bookkeeping and data management.
- Prepare monthly financial reports and assist in budget creation and monitoring.
- Collaborate with the CPA and Executive Director for quarterly and annual filings.
- Maintain compliance with VFM accounting procedures, controls, and standards.
Office Administration (~40% of time)
- Oversee office supplies, equipment, and vendor contracts (e.g., janitorial, IT).
- Manage organizational files, records retention, and HR onboarding and documentation.
- Maintain office/accounting procedure manuals and refine or create new policies as needed.
- Handle general inquiries and direct them appropriately.
Team & General Support (~10% of time)
- Participate in staff meetings and key events.
- Help with meeting prep, including printing and organizing materials, setting up meeting room, etc.
- Supervise contractors, interns, and volunteers as needed.
- Research and recommend service providers to improve office operations.
Skills & Qualifications
- Knowledge of basic accounting principles and hands-on experience applying them.
- Experience with Quick Books, MS Office, and HR software, with the ability to learn new tools.
- Strong organizational and time management skills with attention to detail.
- Strong interpersonal and communication skills.
- Ability to work independently while collaborating effectively with others when needed.
- Experience in nonprofit accounting and grant reporting.
- Familiarity with payroll processes and HR management systems.
- Understanding of basic office technology and IT troubleshooting.
- Detail oriented, organized, and trustworthy.
