Position: Administrator (In-Office)

Overview

We are seeking an Administrator to join our BPA team in Vaughan. The office is currently located in Toronto (1263 Wilson Ave.), but will relocate to Vaughan (Langstaff Rd. & Highway 50) in the coming months. This position is 100% in‑office.

Hours:

8:30 am – 4:30 pm with rotational Wednesday 12 pm – 8 pm and Saturday 9 am – 12 pm shifts every 12–16 weeks.

Responsibilities
  • Learn and understand the applicable Collective Agreements. Receive employer contribution reports daily and ensure payments accurately match to report, balance and audit reports, confirming hours, rates, calculations, and additional information. Process company adjustments on the MEBS system. Perform detailed analysis of employer reporting to ensure accuracy.
  • Generate and analyze various reports to identify and reconcile any company imbalances or irregularities. Follow BPA delinquency guide for companies with outstanding balances.
  • Respond to enquiries from union representatives, companies and members regarding eligibility, vacation pay and other issues.
  • Assist union representatives with enquiries regarding company and member reports.
  • Request and distribute cheques from Accounting Department at month end.
  • Assist employers to complete documentation and reports for submission to BPA.
  • Process benefit self‑payments from members, review payments for accuracy and follow up with discrepancies.
  • Enter data on remittance reports submitted by companies when required.
  • Follow up with members on NSF cheques for self‑payments.
  • Run various monthly queries to assist in monthly reporting.
Qualifications
  • Exposure to office administration and clerical processes, particularly related to data analysis and account reconciliation.
  • PC proficiency with strong knowledge of Microsoft Office, especially Excel and Word.
  • Knowledge of accounting practices is a definite asset.
  • Demonstrated mathematical aptitude.
  • Minimum secondary school graduate; post‑secondary education preferred.
  • The ability to organize and prioritize workload.
  • Excellent written and verbal communication abilities.
  • Strong interpersonal and customer service skills.
  • The ability to multi‑task, work under pressure and meet deadlines.
Preferred Qualifications
  • Previous experience in the group benefits industry.
  • Fluency in Portuguese, Italian and/or Spanish.
