Our client, located in Vaughan, ON, is seeking a reliable, part-time Property Management Administrator to provide administrative support to accountants and management including scheduling trades and property contractors, preparing bookkeeping and placing advertisements for commercial rentals.
RESPONSIBILITIES- Perform office administrative duties including general photocopying, faxing, mailing, file maintenance, etc.
- Prepare tenant billing and cheque payments with supporting documentation for management to review and sign.
- Enter data and manage tenant contact details and lease documentation using various software. Help to set up new customers in the software system and integrate our new software.
- Oversee and coordination of property maintenance and landscaping vendors, ensuring work is performed satisfactorily.
- Coordinate printing and packaging of documentation for management or other internal departments. Place commercial OR residential rental ads online.
- Maintain office and kitchen supplies as needed, ensuring work spaces are consistently clean and tidy.
- Prepare office and boardroom for client meetings and events. Act as back-up to Reception as needed.
- Assist in maintaining office equipment and schedule service maintenance as needed.
- Maintain storage box inventory lists and physical locations, ensuring documents are purged as advised by management.
- Comply with the organization’s environmental, health & safety, recycling, sustainability efforts and quality assurance policies and standards.
- Minimum university diploma; a successful completion of property administration courses is an asset.
- Minimum three years of experience in bookkeeping or property administration.
- Strong communications and customer service skills.
- Strong computer abilities with word processing and spreadsheets.
- Work for a dynamic organization who has been operating in Canada for 60 years.
- Permanent part-time role with benefits after probationary period.
- Pay rate ranges from $28.00 - $30.00 per hour, depending on experience
