Legal Receptionist – Full-Time, In Office

Salary: $23–$27 per hour

The Opportunity
Our Client is seeking a professional, organized, and client-focused Legal Receptionist to join their Thornhill office on a full-time, in-office basis.
As the first point of contact for clients, visitors, and callers, you will play an important role in creating a professional, welcoming, and organized front-office environment. This position is ideal for someone who enjoys working with people, takes pride in providing excellent service, and is comfortable balancing reception responsibilities with administrative support.
Key Responsibilities
Front Desk & Client Experience
Greet clients, visitors, and couriers warmly and professionally
Answer, screen, and direct incoming calls, take accurate messages, and make outgoing calls as required
Maintain a professional, welcoming, and client-ready reception area
Assist clients with intake forms and collect or copy identification and other required documentation
Communicate professionally with clients, lawyers, clerks, opposing law offices, court staff, and other stakeholders
Handle confidential client information and legal documents with discretion
Scheduling & Administrative Support
Schedule appointments, consultations, and meetings, including confirmations, changes, and cancellations
Coordinate calendars and meeting logistics
Prepare and send routine emails, letters, and other correspondence using firm templates and formatting
Photocopy, scan, print, and prepare documents for lawyers and staff
Receive, sort, and distribute incoming mail, courier packages, faxes, and legal documents
Maintain accurate paper and digital filing systems and organized records
Complete data entry and document organization
Monitor office supplies and assist with day-to-day office operations
Client Intake & Follow-Up
Contact prospective clients who have requested appointments
Ensure intake information is complete and directed to the appropriate lawyer or practice area
Communicate next steps clearly and professionally
Use discretion, patience, and professionalism when assisting clients who may be stressed or upset
General Office Support
Provide administrative assistance to lawyers, clerks, and other team members as needed
Assist with tasks that support the smooth operation of the office
Contribute to a professional, respectful, and service-oriented workplace
Qualifications
2+ years of reception or office administration experience
Previous experience in a law firm or professional services environment is strongly preferred
Strong verbal communication and professional phone presence
Excellent written communication skills with strong grammar and attention to detail
Professional, polished, personable, and welcoming manner
Highly organized with the ability to manage multiple priorities and deadlines
Strong customer-service skills and a genuine interest in helping clients
Proficient with Microsoft Office, including Outlook, Word, and Excel
Experience with Unity and/or Soluno is a strong asset
Ability to work independently while contributing positively to a collaborative team
Experience in real estate or business law is an asset
