Position OverviewArbor Scape Inc. is seeking a dependable and highly organized Administrative Assistant to support daily office operations and provide executive assistance to the President. This role is ideal for someone who enjoys structured administrative work, clear responsibilities, and being the central point of coordination in a small, fast‑paced business. The Administrative Assistant will manage administrative tasks, light HR/ATS updates, scheduling, communication support, and general office organization.
Key Responsibilities- Manage daily office operations, including filing, document preparation, and supply management
- Maintain organized digital and physical records
- Prepare correspondence, reports, and internal communications
- Perform invoicing, data entry, and basic bookkeeping tasks
- Assist with preparing invoices, tracking payments, and maintaining accurate financial records
- Monitor office equipment, subscriptions, and minor IT needs
- Manage the President’s calendar, appointments, and meeting coordination
- Draft emails, memos, and communication on behalf of leadership
- Prepare meeting agendas, notes, and follow‑up task lists
- Provide daily/weekly weather updates for field crews
- Assist with simple errands and task organization as needed
- Maintain and update the Applicant Tracking System (Team Engine)
- Post job openings and update job descriptions
- Coordinate interviews and prepare candidate materials
- Generate onboarding documents and assist with new‑hire organization
- Support safety training coordination and recordkeeping
- Serve as a friendly, professional point of contact for staff, clients, and partners
- Support leadership and team leads with administrative tasks and scheduling
- Help maintain a positive, organized, and efficient office environment
- Previous administrative experience (2+ years preferred)
- Strong organizational and time‑management skills
- Professional written and verbal communication
- Proficiency with macOS
