Location: Town of Vermont

Provides administrative support to the Health and Wellness Department primarily. Develops and maintains a sustainable Sexual Assault Response Team (SART) program to improve services for adolescent sexual assault victims, including investigation, evidence collection, and prosecution. Directs coordination and Center Equal Employment Opportunity (EEO) administration.

Major Duties and Responsibilities
  • Maintains and files student medical records.
  • Answers phones, schedules appointments, arranges student transportation needs, and greets students.
  • Assists students in completing medical insurance documents.
  • Monitors missed appointments and follows up as necessary; updates MIS in Center Information System (CIS).
  • Completes purchase requisitions for medical supplies and processes payments to vendors.
  • Enters CA-1 data into the Safety Health Information Management System (SHIMS).
  • Maintains a log of medically separated students.
  • Opens, sorts, and distributes incoming correspondence, including faxes.
  • Follows all HIPAA rules and regulations.
  • Supports the center in achieving its OMS goals and enforces the Zero Tolerance Policy.
  • Promotes a positive work environment and demonstrates career success standards and core values.
  • Models appropriate behaviors, mentors students, and monitors both positive and negative behaviors through interventions.
  • Coordinates effective interagency collaboration to generate a coordinated response team for adolescent sexual assault survivors.
  • Monitors and evaluates EEO compliance with equal opportunity laws, guidelines, and policies.
  • Prepares reports related to investigations of equal‑opportunity complaints.
  • Prepares research reports on EEO topics for student education.
  • Interviews persons involved in equal‑opportunity complaints to verify case information.
  • Interviews witnesses, suspects, or claimants.
  • Counsels students of minority or disadvantaged groups, informing them about details of civil rights laws.
Skills and Competencies
  • Knowledge of state and federal laws regulating patient privacy (HIPAA).
  • Effective communication skills, both written and verbal.
  • Meticulous documentation/recording skills and attention to detail; excellent time management.
  • Excellent customer service skills; ability to multi‑task.
  • Proficiency in computer software such as MS Word, Excel, PowerPoint, Outlook.
  • Ability to effectively operate office equipment.
Education Requirements
  • High School Diploma and experience equivalence to an Associate degree.
Experience
  • Two years of experience supporting a medical environment preferred.
  • Proven ability to work with stakeholders from multiple disciplines and develop collaborative relationships.
  • Must possess a valid driver’s license with an acceptable driving record.
