The Client Services Associate provides administrative and operational support to advisors while delivering a high level of service to clients. This role ensures daily office operations run smoothly, client requests are handled accurately and timely, and records are properly maintained in accordance with firm and broker/dealer standards.
Key Responsibilities Client Service & Communication- Serve as a primary point of contact for incoming calls and client inquiries, routing as appropriate
- Respond to client service requests and assist with problem resolution
- Correspond with clients regarding new accounts, asset transfers, distributions, and required documentation
- Schedule advisor appointments and manage calendars and reminders
- Prepare reports and materials at advisors’ request
- Assist with event planning and client communications
- Process check deposits and money movement requests per advisor or client direction
- Communicate with the broker/dealer and product providers as needed
- Maintain required broker records, logs, and blotters
- Enter and maintain accurate client data in the CRM (Redtail)
- Document daily activities and service actions
- Scan, file, organize, and maintain all client paperwork and records
- Manage mail processing, office supplies, labels, and shipping
- Maintain office equipment and technology
- Utilize internet-based tools and systems to process and follow up on business
- Coordinate with the PR firm for social media and client newsletters
- Perform client service and administrative tasks as needed
- Complete miscellaneous duties as assigned
- Familiarity with marketing automation platforms and performance marketing techniques is highly desirable.
- Eager learner with a positive, proactive attitude
- Comfortable working independently and managing multiple tasks
- Proficiency in various software packages – Microsoft Office, Outlook, and ChatGPT
- Creative thinker who can contribute ideas and take initiative
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong verbal and written communication skills are required to interact with team members and stakeholders efficiently.
- Skilled in operating various office equipment including personal computer, fax and copier
- Bachelor’s degree or equivalent experience preferred, but not required
- Must be located in commutable distance to Birmingham, Alabama, United States
- Salary: Starting at $45k+ depending on experience
- Schedule: Full-time, in-office
