The Virginia Beach Housing Resource Center is seeking a professional, customer-focused Office Assistant II to serve as the first point of contact for customers, clients, and guests. This vital role requires exceptional communication skills, a welcoming demeanor, and the ability to represent the department with professionalism and care.
Key Responsibilities:- Greet and direct guests, creating a positive, welcoming, and service-oriented environment.
- Answer and route incoming telephone calls to the appropriate staff member.
- Enforce front desk policies, including maintaining accurate records in the visitor management system.
- Provide accurate information to visitors and callers in accordance with City, department, and division policies.
- Collect required information and documentation from guests/clients and maintain organized records.
- Perform data entry, review documents for completeness, update spreadsheets, and manage both electronic and paper files.
- Receive, document, process payments from clients and through the mail.
- Accept and process deliveries according to established procedures.
- Open, sort, and route incoming mail.
- Operate standard office equipment and utilize City-approved software applications, such as Microsoft Excel or comparable software.
- Prepare, file, scan, copy, and fax records, reports, and other materials as required.
- Strong de-escalation skills and professionalism in handling sensitive or difficult situations.
- The ability to remain flexible and adapt to changing priorities.
- The capability to effectively manage a busy lobby and coordinate a variety of tasks and workflows.
After successfully learning and demonstrating proficiency in all duties for at least six months, this position offers the opportunity to work remotely one day per week
