HELP WANTED – PSA ADMINISTRATIVE ASSISTANT General Summary
The PSA administrative assistant is responsible for performing data entry, utility billing, accounts receivable, postings and deposits, as well as answering phones and assisting customers.
Responsibilities- Perform data entry, utility bill processing, accounts receivable, postings and deposits
- Answer phone and screen as appropriate
- Assist customers as needed
- Compute and distribute monthly billings for dumpster, roll‑off and apartment customers
- Work actively to maintain current customer database and look for opportunities to manage the delinquent solid waste customer database in a more efficient manner
- Interact routinely with the Treasurer’s Office who acts as PSA agent for collection
- Assist foreman, water department and other staff with paperwork
- Maintain current list of PSA Board and employees, addresses and phone numbers
- Prepare and distribute packets for PSA Board meetings
- Take and prepare minutes for PSA Board meetings
- Ensure compliance of PSA Board with Conflict‑of‑Interest requirements
- Handle confidential information
- File
- Manage record retention for PSA
High School Diploma/GED is required with additional education considered a plus.
Required Experience- Knowledge of current office practices and procedures along with exceptional interpersonal, teamwork and customer service skills and effective oral and written communication skills to include proper use of grammar, spelling and punctuation.
- Computer skills with proficiency in Microsoft applications including Word, Excel and PowerPoint are also necessary along with the ability to establish effective working relationships with diverse groups; to handle sensitive and confidential information; to exercise sound judgement; and to interact professionally with agency staff, government officials and the public.
- Proven current or recent executive‑level administrative experience which includes interpreting and applying policies and procedures; working independently while exercising sound judgment and superior decision‑making skills.
- Shown knowledge of cash accounting procedures, math principals, and proven ability to interpret and follow written and oral instructions.
Physical Requirements
This role requires light lifting, carrying, pushing items and/or pulling; ability to sit for long periods of time.
