Client Services Supervisor

Essential Functions
  • Supervise and mentor Client Services Specialists, ensuring high performance, accountability, and professional development.
  • Oversee the gathering, reviewing, and organizing client tax information for return preparation.
  • Ensure timely scanning and electronic filing of client documents.
  • Maintain confidentiality and security of sensitive client and firm information.
  • Monitor and improve internal workflows and client service processes using spreadsheets and firm systems.
  • Serve as a primary point of contact for client communications regarding tax matters, ensuring timely and professional responses.
  • Coordinate with tax preparers and partners to ensure smooth client onboarding and document flow.
  • Manage team assignments and project timelines to meet seasonal and year‑round deadlines.
  • Identify opportunities for process improvement and implement best practices across the Client Services team.
  • Assist with hiring, training, and development of new Client Services staff.
  • Other duties as assigned to support firm operations and client satisfaction.
Qualifications
  • High School diploma required; bachelor’s degree, preferred.
  • 3‑4+ years of experience in client services, administrative support, or tax operations.
  • Prior supervisory or team lead experience strongly preferred.
  • Experience in a CPA firm or professional services environment is a plus.
  • Ability to work overtime January through April and during other peak seasons.
  • Strong interpersonal and leadership skills; able to motivate and guide a diverse team.
  • Excellent organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Excel, Teams, Word, Outlook).
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast‑paced environment.
