Job Description

Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. The College is a dynamic learning organization that serves as a Germanna regional leader and preferred partner where quality learning experiences enable students to participate effectively in the social, economic, political, intellectual, and cultural life of their communities. Germanna Community College is centrally located in Fredericksburg, VA between Washington D.C. and Richmond and between the Blue Ridge mountains and the Chesapeake Bay.

Full of history, the area offers a community rich with diversity, the arts, technology, vineyards, hiking, canoeing/kayaking, and many other activities. The Career and Transfer Center Assistant will assist with a variety of important duties that support the high volume of a busy college wide resource. The Assistant greets students, 4-year college representatives, employers, faculty, staff, and other visitors to the center, and opens and closes the center as assigned.

The assistant answers the phone and responds to the center’s email. The assistant supports the coordinator with management of the budget and purchases products, materials, and services for the center. The assistant schedules meetings for the coordinator and assists with calendar management. This position prepares and distributes materials to students and for events, as well as maintains the center’s social media platforms.

The assistant will refer students to center resources and assist with triage and help communicate the mission and function of the department within the college and to external constituents.

Major Duties and Responsibilities
  • Assist Career and Transfer Center daily operations, in person, by phone and/or virtually.
  • Greet students, 4-year college representatives, employers, faculty, staff, and other visitors to the center.
  • Manage the office calendar of events and make appointments for Center staff and support the needs of students making appointments using EAB Navigate.
  • Manage emails directed to the Career & Transfer while providing guidance and resources and appropriate hand-off.
  • Assist in event planning, room reservations, and participating in events that involve students, community members and partners.
  • Assist with marketing of office events including developing flyers, weekly newsletter, Navigate campaigns and additional social media communication.
  • Assist with maintaining the electronic job board and facilitating campus recruiting visits.
  • Help support overall mission of the Center.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA’s/Required Qualifications
  • High School Diploma
  • Administrative experience
  • Ability to prioritize competing tasks, plan and monitor workflows, and maintain organized records
  • Demonstrates professional oral and written communication
  • Ability to work independently and proactively
  • Ability to work effectively and flexibly under pressure, at times with short deadlines
  • Ability to use Microsoft Office suite (Word, Excel, PowerPoint, and Outlook), Zoom, and the Google suite. Ability to gain proficiency in new software quickly
  • Ability to understand and apply policies and procedures
  • Ability to work well as part of a diverse community of students, faculty, and staff
