Job Overview
Administrative Coordinator at Eye Care Partners (via iHire). This role supports practice management and community relations through day‑to‑day administrative operations.
Primary Functions- Support day‑to‑day practice operations with the practice administrator and management team.
- Assist with documentation, correspondence, spreadsheets, reports, and surveys.
- Track project assignments, coordinate with vendors, and provide direct communication to managers.
- Research, prioritize, and follow up on projects; prepare materials and presentations for meetings and events.
- Manage an active calendar of meetings and events, including community and team events.
- Respond to vendor inquiries, schedule meetings, track tasks, and maintain inventory of administrative supplies.
- Work closely with the Community Relations Team and support referring providers.
- Attend community events, sometimes outside normal business hours (up to 5 times a year).
- Support COPE Course Submission and editing of provider presentations.
- Plan, coordinate, and execute team events, including budgeting and timelines.
- Provide ongoing day‑to‑day support to team members and new hires, including interview coordination and onboarding.
- Perform other duties and special projects as assigned.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint).
- Proficiency in Adobe Creative Cloud Suite and website updates.
- Strong time‑management and organizational skills with attention to detail.
- Excellent interpersonal skills for building relationships with providers, team members, patients, and vendors.
- Resourceful, collaborative, and able to handle confidential matters with discretion.
- Ability to develop and deliver training materials and host training sessions.

Employees must facilitate oral and written communication and engage in ongoing interactions, including visual observations, verbal feedback, and written correspondence. Periodic stooping, kneeling, crouching, or crawling may be required, and lifting up to 10 pounds is frequent. Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and focus adjustment.
