Phoenix Fire Protection has served the Central Valley for over 25 years, providing installation, inspection, and repair services for fire sprinkler systems, kitchen fire suppression systems, fire extinguishers, and kitchen hood and duct systems.
We are seeking an organized, dependable team member to schedule customer accounts and build efficient daily and weekly routes for technicians. This position requires proactive customer outreach, consistent follow-up, and strong attention to detail.
Primary Responsibilities- Review customer accounts for upcoming and overdue inspections and services.
- Call customers to schedule inspections, repairs, and return visits.
- Create technician routes by grouping appointments by city and nearby areas to reduce travel time.
- Schedule work based on technician availability, service duration, customer access, and deadlines.
- Keep technician schedules productive by filling openings and cancellations.
- Track unscheduled accounts and follow up until appointments are confirmed.
- Provide technicians with accurate addresses, contact information, access instructions, and service details.
- Adjust routes for cancellations, urgent repairs, and schedule changes.
- Coordinate return visits for deficiencies and corrections.
- Maintain accurate scheduling records and customer contact notes.
- Answer calls and assist customers professionally.
- Update customer records and service information.
- Enter job cost receipts, bills, and invoices in Quick Books.
- Scan documents, maintain files, and assist with general office duties.
- Previous customer scheduling, dispatching, or technician routing experience.
- Ability to organize efficient routes throughout the Central Valley.
- Strong organization, follow-through, and accurate data entry.
- Confidence making outbound scheduling and follow-up calls.
- Ability to manage multiple schedules and changing priorities.
- Professional telephone etiquette and clear communication.
- Quick Books knowledge and proficiency in Microsoft Word and Excel.
- Bilingual communication skills.
- Dependability and ability to work independently and with a team.
