Overall Purpose of the Position

The Medical Office Assistant (MOA) is responsible for assisting in the coordination and organization of various office duties including appointments, screening patients for triage, updating patient information screens, completing forms, requesting and transferring charts, and answering multi‑line telephones. The MOA also helps to educate and support patients in the complex process of care related to cancer and GI issues.

Job Responsibilities
  • Promptly and courteously answer incoming calls, take messages or transfer calls as required; assist scheduling diagnostic appointments, tests, authorizations, and referrals; inform patients of co‑payments, deposits, and referrals/authorizations needed at time of appointment.

  • Identify and verify all information needed to process encounters; generate encounter forms for next day service; assist in completion of office forms and documents (copying, faxing); assist with ICD9 coding of visits.

  • Assist in maintenance of medical records: file documents in charts, request and transfer charts, prepare charts, note incoming lab results, record next appointment date.

  • Coordinate all aspects of care (office, hospital, etc.); schedule appointments; coach patients through the “maze” of care; advocate for patients and family members; coordinate delivery of care with other MMG providers/offices and referrals including off‑island.

  • Assist physician/program with tracking quality outcomes and practice trends; report results and work to improve trends.

  • Organize and assist with outreach screening programs to expedite early detection of cancer and reduce barriers to care (cultural, financial, logistical).

  • Demonstrate quality work, complete assignments on a timely basis, make decisions within limits of authority; take initiative in problem solving; maintain confidentiality of patient and company information; interact with patients, co‑workers, and management in a courteous and respectful manner; adhere to all company policies and procedures. 2.5%

  • Minimum Qualifications
  • Education / Experience: High school diploma or equivalent required; two years of medical receptionist experience preferred; demonstrated experience with basic office equipment and personal computer highly desirable.
  • Skills / Knowledge: Must manage multiple tasks simultaneously; strong telephone skills; positive “can‑do” attitude; able to work overtime as needed.

    Preferred Qualifications:

    Experience in a medical office or healthcare administration; knowledge of medical terminology.
  • Equipment Use: Personal computer, typewriter, multi‑line telephone, fax machine, copies.
  • Characteristics: Willing to effectively participate as a team member with Nursing and Front Desk.
  • Physical Requirements

    Requires sitting and use of hands for key‑punching (60%), walking, bending, stooping, and stretching for files and supplies (30%); manual dexterity sufficient to operate a keyboard and other office equipment; vision must be correctable to 20/20; hearing normal for telephone use; able to lift up to 25 lbs.

    Hourly Rate

    Starting @ $19.07; based on experience.
