Job Summary
As an administrator you will support your administration colleagues and the wider clinical team in the day‑to‑day running of the service. You will ensure that patients’ needs are met and receive high‑quality, timely care. The role is busy and can be demanding, but you will receive support and guidance from all colleagues who value each other and your contribution to the team.
WhatYou'll Do
- Receive and process new patient referrals.
- Assist referrers – including professionals, patients and families – by telephone.
- Support clinicians with diary bookings and general administrative tasks.
- Organise the weekly multidisciplinary team meeting and the monthly staff meeting.
- Act as the principal point of contact for users of the service, ensuring confidentiality and excellent communication.
- Work flexibly to meet service needs, prioritising tasks and exercising independent judgement.
- Maintain good working relationships, being polite, positive and empathetic.
- Communicate effectively, using tact and empathy, and adapting style to meet users’ needs.
- Willing and able to undertake all mandatory Trust training and subsequent refresher training.
- Willing and able to pursue job development and maintain skills.
- Recent secretarial / administrative experience.
- Excellent written communication skills – preparing routine written correspondence.
- Excellent verbal communication skills – obtaining information and passing on confidential messages.
- Strong decision‑making and prioritisation ability.
- Knowledge of the Data Protection Act, Information Governance and Trust policies.
- Customer care skills and the ability to provide patient‑focused support.
- Good interpersonal skills, empathy, and a non‑judgemental approach.
- Resilience to pressure and exposure to emotional, distressing situations.
- Observation skills to identify potential risks and act appropriately.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience with electronic and paper diaries and meeting arrangements.
- Ability to work effectively as a team member with minimal supervision in a busy environment.
- Understanding of strict confidentiality requirements.
- Knowledge of information governance.
- Problem‑solving skills.
- Experience with NHS software programmes.
- Leadership or supervisory experience.
- Excellent IT skills.
- Experience in a caring environment and dealing with the public.
- Flexibility to meet the demands of the post.
- Responsive, positive attitude.
- Appropriate dress for the environment.
- Ability to travel around the Trust as required.
- NVQ Level 3 or RSA III or OCR III (or equivalent qualification in a related subject such as business administration, typing/word processing, or customer services).
- Or, demonstration of competency at Level 3.
