Hybrid – requires 3-4 days per week in our Walnut Creek, CA office with time remote.
Responsibilities- Executive Support
- Provide proactive calendar, travel, and expense management to optimize Officer’s time.
- Serve as primary point of contact between the Officer and internal/external stakeholders.
- Prepare high-quality correspondence, meeting materials, and executive-level presentations.
- Operational & Strategic Coordination
- Support and coordinate division planning cycles, business reviews, and leadership team meetings.
- Monitor key initiatives, timelines, and deliverables for accountability.
- Help prioritize and organize complex work streams to align with enterprise goals.
- Prepare and deliver high-quality reports, presentations, and executive summaries.
- Leadership Enablement
- Anticipate needs and remove obstacles to maximize Officer’s impact.
- Support internal communications and assist in drafting messages, updates, and presentations.
- Maintain confidentiality and discretion with sensitive information.
- Collaborate across divisions to support internal partnerships.
- Prepare Officer for meetings by gathering insights, briefing materials, and follow‑ups.
- Represent executive in internal meetings as needed, track action items and ensure closure.
- Project and Process Oversight
- Partner with internal teams to manage special projects from concept through execution.
- Implement tools, templates, or processes to improve team efficiency and alignment.
- Track budgets, vendor relationships, and key operational metrics as needed.
- Proven ability to manage strategic and administrative functions in a high‑velocity setting.
- Strong organizational, project management, and problem‑solving skills.
- Excellent verbal and written communication skills.
- High proficiency in Microsoft Office, Google Suite, and collaboration tools.
- Ability to work independently and thrive within a collaborative EA team.
- Strong business acumen and professional presence.
- A solutions‑focused mindset and ability to navigate ambiguity.
- An eye for detail paired with the ability to see the bigger picture.
- A genuine desire to make others more effective and successful.
- Presence, polish, and confidence to represent your Officer at all levels.
- High School diploma or GED.
- 5–8 years of progressive executive support, significant direct C‑suite or senior leadership support.
- Expertise in complex domestic and international travel arrangements.
- Accurate management of executive expense reports.
- Primary liaison experience with internal/external stakeholders.
- Strong written and verbal communication; ability to draft high‑level correspondence.
- Experience in planning and facilitating high‑stakes meetings.
- Proactive problem‑solving aptitude.
- Discretion and confidentiality with sensitive information.
- Advanced proficiency in Microsoft Office suite and Google Suite.
- Bachelor’s degree.
- Executive Assistant certification or Project Management certification.
- Experience in fast‑paced, global company environments managing executive budgets or departmental finances.
- Office environment sitting at a desk or computer workstation for extended periods.
- Use of personal computer approximately 50–80% of time.
- Hybrid with minimum 3 days in office; occasional travel for on‑site meetings.
Compensation Range:
Min: $89,744 – Mid: $112,180 – Max: $134,617.
