Assistant Practice Manager

We are looking for an organised, passionate, and committed Assistant Practice Manager for 25 hours per week to join our friendly and dedicated team. This is an exciting opportunity for an enthusiastic individual who is motivated to make a positive impact within a busy and patient‑focused practice.

Main Duties of the Job

The successful candidate will play a key role in supporting the day‑to‑day management of the practice, working closely with the Practice Manager to ensure efficient operations, excellent patient care, and a positive working environment for staff. We are seeking someone with strong organisational and communication skills, a proactive approach to problem‑solving, and a genuine commitment to continuous improvement.

Stroud Practice is an established forward‑thinking training practice with 9500 patients committed to offering a welcoming and efficient service to our practice population.

Our team consists of 1 GP partner, 5 GPs, 3 practice nurses, 3 HCAs all supported by a hardworking, efficient and friendly administrative team.

Job Responsibilities Operational Management
  • Support the Practice Manager in the day‑to‑day running of the practice.
  • Assist with developing and implementing practice policies, procedures, and systems.
  • Ensure efficient administrative processes are maintained across the practice.
  • Identify opportunities for service improvement and operational efficiency.
  • Assist in managing premises and facilities issues, liaising with external contractors where required.
Staff Management and Support
  • Support the recruitment, induction, training, and development of staff.
  • Assist with rota planning and workforce management.
  • Provide day‑to‑day guidance and support to administrative and reception teams.
  • Promote effective communication and teamwork across all staff groups.
  • Support performance management processes as required.
Patient Services
  • Ensure high standards of patient care and customer service are maintained.
  • Manage and investigate patient feedback, concerns, and complaints in accordance with practice procedures.
  • Support initiatives to improve patient experience and access to services.
  • Promote a welcoming, professional, and patient‑focused environment.
Governance and Compliance
  • Assist in ensuring compliance with CQC standards, NHS contractual requirements, and relevant legislation.
  • Support information governance, data protection, and confidentiality requirements.
  • Maintain accurate records, audits, and compliance documentation.
  • Assist in the implementation of risk management and health and safety procedures.
Finance and Resources
  • Support the Practice Manager with budget monitoring and resource management.
  • Assist with procurement and stock control.
  • Contribute to the achievement of Quality and Outcomes Framework (QOF) and enhanced service targets.
  • Monitor administrative processes to ensure value for money and efficiency.
Information Technology
  • Support the effective use of clinical and administrative IT systems.
  • Assist staff with the implementation of new systems and processes.
  • Ensure accurate data collection and reporting where required.
Person Specification Qualifications
  • Educated to GCSE level (or equivalent), including English and Mathematics.
  • NVQ Level 3 or equivalent qualification in Business Administration, Management, Healthcare Management, or a related field.
  • Proficient in Microsoft Office applications.
Experience
  • Experience in a healthcare, primary care, or similar administrative environment.
  • Experience supervising or supporting teams.
Other Requirements
  • Flexibility to support the needs of the practice and provide additional cover when required.
  • Willingness to undertake training and continuous professional development.
  • Commitment to maintaining confidentiality and professional standards at all times.
