Client Service Representative at VCA Animal Hospitals

Location:

Warrensville Heights, OH. We are seeking an experienced Client Service Representative to join our busy small animal specialty and emergency hospital. We are hiring for night and weekend shifts only at this time and will consider full or part-time applicants.

We are looking for a personable yet highly professional service-oriented individual who thrives in a collaborative environment and is invested in the success of the entire team. The ideal candidate communicates with clients as a trusted friend, delivers empathetic client care, and ensures that all clients feel welcomed and appreciated while receiving excellent service and pet care.

The Client Service Representative sets the tone for the practice and is central to building and maintaining customer trust and confidence.

Responsibilities include:

  • Provide excellent customer service and create a welcoming environment for pets and their owners
  • Answer a multiline phone system
  • Schedule and confirm appointments
  • Assist with admitting and discharging patients
  • Invoicing, billing, processing payments, and collection attempts
  • Conflict management, dispute resolution, and de-escalation as needed
  • Work independently, take initiative, and offer constructive suggestions
  • Learn about customer care, veterinary services, and medical office procedures
  • Manage medical records, charts, reports, and correspondences
  • Present and explain fees and process payments
  • Maintain hospital cleanliness and organization inside and outside the facility
  • Demonstrate a passion for helping animals and their owners
