About the Role
We are working with a leading contractor who is looking for a highly organised and proactive Secretary to provide dedicated administrative and coordination support to senior leadership. This is a varied and fast-paced role where you'll play a key part in ensuring senior stakeholders are supported through effective diary management, meeting coordination, action tracking, and high-quality administrative support.
Working with multiple stakeholders across the business, you'll help drive consistency, improve planning, and contribute to the smooth and efficient operation of leadership activities within a successful and growing organisation.
Key Responsibilities
Proactively manage complex diaries for senior leaders, scheduling meetings, resolving conflicts, and coordinating availability.
Provide comprehensive diary management support for individuals with extensive travel requirements, including forward planning and priority management.
Coordinate meetings from start to finish, including room bookings, invitations, agendas, and distribution of supporting materials.
Take accurate minutes during monthly leadership meetings and monitor follow-up actions.
Support travel and accommodation arrangements alongside the Travel team during busy periods.
Prepare documents, correspondence, reports, and provide general administrative support.
Maintain accurate records of meetings, actions, and key business activities.
Assist the Travel & Expenses team as required to ensure a high level of service across the function.
About You
You'll be an experienced administrator or secretary who thrives in a busy environment and enjoys supporting senior stakeholders.
We're looking for someone with:
Experience managing diaries and coordinating meetings within a corporate or professional environment.
Excellent organisational skills with the ability to manage multiple priorities.
Strong written and verbal communication skills.
Exceptional attention to detail and accuracy.
Confidence using Microsoft Outlook, Teams, and Microsoft Office applications.
A proactive, professional, and collaborative approach.
A relevant administration or business qualification would be advantageous, although equivalent experience is equally valued. Experience with in construction, engineering, or a related industry would also be beneficial.
