Job overview

We are looking for an organised and approachable individual to join our maternity team as a Ward Clerk. This role involves managing patient appointments, updating electronic records, handling referrals, and providing general administrative support. Strong IT skills and excellent communication are essential to ensure the smooth running of the department and high-quality service for patients and staff.

Main duties of the job

To provide a full, accurate and efficient administration service, providing a fully comprehensive reception service.

Support Birth Suite with general secretarial duties including greeting patients and answering the telephone.

To receive incoming telephone calls, take messages and/or redirect to the appropriate person.

To undertake general photocopying, distribution and mail duties as required.

To carry out filing in line with Trust policies.

To have an awareness of how to use Lorenzo and Badger Net to ensure the ward activity is kept up to date.

To input appropriate patient information onto the electronic patient system, ensuring patient demographic data is updated as necessary.

Ensure enquiries from patients, internal and external agencies are dealt with efficiently and appropriately, maintaining confidentiality at all times.

Arrange with the Estates Department for repairs as necessary, in liaison with the Housekeeper, Co-Ordinator in Charge or Birth Suite Manager.

To communicate in a clear and precise manner with colleagues and users of the service by means of verbal and non-verbal communications.

To provide advice and information to patients on arrival to the unit and service users with regards to their patient journey.

To receive Trust/departmental information/documents, read the contents and effect any actions as appropriate.

To undertake the Trust mandatory training as required.

To attend appropriate training courses identified by the manager.
