The Registration & Scheduling Specialist is responsible for answering incoming telephone calls for patients needing to schedule or register for appointments with Bowen Health. This includes gathering necessary demographic and pay-source information, completing an admission screening that includes risk assessment, and scheduling appointments with clinicians based on pay sources and credentials.
Responsibilities- Provide a positive experience for the first contact between Bowen Health and the patient calling for an appointment.
- Answer phone calls within three (3) minutes so the call is not transferred to voicemail.
- Return voicemails within twenty-four (24) hours, except on weekends.
- Enter referrals and call within twenty-four (24) hours to schedule an appointment.
- Call online registrations within twenty-four (24) hours to schedule an appointment.
- Collect patient pay source information and call to gather benefits before appointment date.
- Document all necessary information accurately in the computer system.
- Verify all pay source for prospective patients and place information in the required area of intake, documenting all information from third-party payers.
- Conduct admission screenings, including risk assessments, for incoming prospective patients.
- Refer prospective patients to appropriate service providers, including sending them to the Psychiatric Hospital for evaluation when necessary.
- Enter doctor referrals and online registrations within twenty-four (24) hours; make the first call to schedule intake appointments.
- Perform other duties as assigned.

- Comfort with navigating electronic health records (EHR) and scheduling systems while communicating with patients in real time.
- Typing speed of at least 35 WPM.
Skills and Abilities
- Bilingual proficiency in English and Spanish is strongly preferred.
- Ability to conduct patient registration and appointment scheduling over the phone in both languages.
- Experience working with diverse populations in a healthcare or customer service setting.
- Comfort with navigating electronic health records (EHR) and scheduling systems while communicating with patients in real time.
- Education:
High School Diploma or GED required. - No certificate or professional license required.
- Previous customer service experience preferred.
- Valid driver’s license and active liability insurance.
