Market Center Administrator (MCA) – Job Description
Position Overview
The Market Center Administrator (MCA) is the backbone of the Market Center, responsible for financial management and agent support. Acting as the Chief Financial Officer (CFO), the MCA ensures smooth financial operations while fostering a high-energy, growth-driven environment.

Primary Responsibilities1. Financial Management & Accounting (CFO Responsibilities)The MCA oversees all financial aspects of the Market Center, including:
- Full-charge accounting, including banking, financial reporting, and compliance.
- Processing commission requests accurately and efficiently.
- Collecting mail and logging all checks.
- Managing accounts receivable, payroll, and budgeting.
- Updating Google spreadsheets and financial records.
- Forecasting sales trends and preparing financial documentation.
- Ensuring accurate and timely monthly reporting to Keller Williams Realty International (KWRI), The New England Region, and our ALC.
- Maintaining financial records, including general ledger, payroll, associate, contract, and listing files.
- Acting as the liaison to the CPA and overseeing tax-related matters.
The MCA plays a crucial role in supporting Market Center associates and leadership, including:
- Building strong agent relationships through calls, emails, and social media engagement.
- Promoting the Keller Williams WI4C2TS
culture in interactions with agents, staff, and leadership. - Providing light technical support for KW software systems to agents.
- Offering feedback to leadership on office productivity and growth opportunities.
- Assisting with the vendor Marketing Service Agreements (MSA).
- Calculating and reporting agent production data for local, regional, and international awards.
- Supporting event planning and coordination.
- Overseeing the compliance Virtual Assistants.
- Highly detail-oriented, accountable, and deadline-driven.
- Strong communication, problem-solving, and time management skills.
- Experience with accounting & bookkeeping.
- Proficient in all Google Suite applications.
- Knowledge of database management and accounting software is a plus.
- Comfortable working at a quick pace with a positive, adaptable attitude.
- Ability to handle multiple responsibilities and prioritize tasks efficiently.
- Minimum 2 years of experience in a similar financial or accounting role.
- High school diploma or GED required; college experience preferred.
This is a full-time, in-office position requiring presence at the Market Center Monday through Friday, from 8:30 AM to 4:30 PM in our Warwick location.
- Occasional evening or weekend hours may be required for special events, agent training sessions, or Market Center needs.
- The MCA is expected to be physically present in the office to provide direct support to leadership, agents, and staff.
- This position requires a high level of accessibility, ensuring timely responses to agent, client, and financial matters.
