Executive Assistant to the Director of Infrastructure, Planning & Environment

Full time, permanent

Salary Scale H (£31,022 – £33,699 per annum)

Location:

Shire Hall, Warwick (agile working offered)

About the role

You will support the Director of Infrastructure, Planning & Environment in a fast‑paced environment. You will anticipate the Director’s needs, exercise initiative and ensure the smooth operation of the Director’s working day, providing high‑quality support to senior leaders within the Communities Directorate.

Responsibilities
  • Email and diary management, taking independent and proactive action, coordinating meetings and events, preparing agendas, forward planning, taking minutes and tracking action items.
  • Acting as the gatekeeper for the Director, handling requests and enquiries, directing correspondence, and responding on the Director’s behalf where appropriate.
  • Producing high‑quality documents, presentations, correspondence and briefing notes.
  • Processing financial accounting tasks including forecasting and invoicing.
  • Providing proactive support to members of the Director’s Senior Leadership Team.
Qualifications
  • Proven track record of secretarial and/or administrative experience.
  • Practical and procedural knowledge of office administration (NVQ Level 3 in Administration or equivalent).
  • Proficiency in Microsoft 365, Word, Excel and PowerPoint, and excellent keyboarding skills.
  • Effective written and verbal communication skills, with the ability to interact at all levels and build working relationships.
  • Flexible, adaptable, able to work independently and as part of a team.
  • High level of attention to detail, proactive, can‑do attitude and ability to work under pressure in a fast‑paced changing environment.
  • Experience of working with senior officers.
  • Access to your own transport would be beneficial.
