Overview

Keeping Washington Clean and Evergreen. The Department of Ecology is hiring an Administrative Assistant CRO-Air Quality (Administrative Assistant
3) within the Air Quality Program (AQP).

Location
  • Central Region Office in Union Gap, WA. Upon hire, you must live within a commutable distance from the duty station.
Schedule
  • This position is eligible for telework and flexible schedule options.
  • A minimum of two days per week is required in the office.
  • Schedules are dependent upon position needs and are subject to change.

Duties

Some of the challenges you will find in this role are balancing calendars, managing budgets, preparing executive‑level documents, tracking reports, and coordinating hiring—all simultaneously—requires exceptional organization and prioritization. You will maintain accuracy under tight deadlines with frequent proofreading, formatting, and preparing compliance‑driven documents (e.g., enforcement actions, executive correspondence) which demand precision, attention to detail, and quick turnaround. You will also, as a “super‑user” for accessibility and a SharePoint Site Owner—meaning you must apply accessibility standards, manage permissions, maintain content accuracy, and follow retention schedules.

What

You Will Do
  • Executive Support for the Section Manager:
    Calendar management, screening communications, tracking budgets, coordinating travel, preparing briefings, and handling confidential information.
  • Document Preparation & Quality Control:
    Drafting, formatting, proofreading, and preparing correspondence, reports, enforcement actions, and technical documents to meet agency, accessibility, and plain‑talk standards.
  • Data Entry & Records Management:
    Entering data into DMS, ERTS, AQPPS, and maintaining records in accordance with retention schedules and audits.
  • Digital Accessibility & Technical Super‑User Duties:
    Ensuring Section compliance with accessibility standards; providing staff assistance with formatting, document remediation, and template consistency.
  • Hiring & Onboarding Coordination:
    Scheduling interviews, preparing packets, escorting candidates, managing new‑hire transitions, and ensuring all paperwork is complete and timely.
  • SharePoint Site Ownership:
    Managing site content, permissions, governance, broken links, accessibility compliance, and user support; assisting SCA with more complex issues.
  • Webinar & Meeting Support:
    Organizing, hosting, and facilitating webinars, public meetings, hearings, and trainings.
  • Enforcement & Administrative Process Support:
    Coordinating enforcement documentation packages, ensuring signatures, tracking workflow, and supporting staff in audit processes.

Required Qualifications

Four (4) years of experience and/or education as described below:

  • Experience in clerical, secretarial, bookkeeping, accounting, or general administrative office work.
  • Education involving a major study in business administration, public administration or a closely allied field.
Examples Of How To Qualify
  • 4 years of experience.
  • 3 years of experience AND 30‑59 semester or 45‑89 quarter college credits.
  • 2 years of experience AND 60‑89 semester or 90‑134 quarter college credits (Associate’s degree).
  • 1 year of experience AND 90‑119 semester or 135‑179 quarter college credits.
  • no experience AND a Bachelor’s degree.
Technical & Administrative Skills
  • Expert proficiency in Microsoft Word.
  • Proficiency in Excel, Outlook, PowerPoint, Teams, Adobe Pro, and SharePoint.
  • Experience with data entry and using multi‑system platforms (e.g., DMS, ERTS, or similar).
