Position Summary

The Administrative Assistant provides essential administrative and operational support to ensure efficient daily office operations. This role serves as a central point of communication, supporting staff and management by coordinating office communications, managing timekeeping and expenses, assisting with dispatching activities, and supporting employee onboarding.

Key Responsibilities
  • Serve as the primary point of contact for internal and external communications
  • Answer, route, and respond to calls, emails, and general inquiries in a professional manner
  • Maintain organized records and documentation
  • Track employee timekeeping records and ensure accuracy
  • Assist with payroll preparation by reviewing and submitting time and attendance data
  • Follow up with employees and supervisors regarding missing or inaccurate time entries
  • Collect, review, and process employee expense reports
  • Ensure expenses comply with company policies
  • Maintain accurate expense records and assist with reconciliation
  • Coordinate and dispatch personnel, drivers, or service teams as needed
  • Monitor schedules to ensure coverage and efficient operations
  • Communicate changes or updates promptly to all affected parties
  • Assist with onboarding new hires, including paperwork, system access, and orientation scheduling
  • Coordinate with HR and management to ensure a smooth onboarding experience
  • Maintain employee onboarding records and checklists
  • Maintain office supplies and equipment
  • Assist with filing, data entry, and report preparation
  • Support management with additional administrative tasks as needed
Qualifications & Skills
  • High school diploma or equivalent required
  • 1–3 years of administrative experience preferred
  • Proficiency in Microsoft Excel, One Drive, and Microsoft Teams required
  • Strong organizational, communication, and multitasking skills
  • Experience with timekeeping, expense tracking, or dispatch systems preferred
  • High attention to detail and ability to meet deadlines
