Position: Special Assistant to the President & CEO

Schedule: Full-time

The Center for European Policy Analysis (CEPA) seeks a highly organized, proactive, and mission-driven Special Assistant to support the Executive Office. This role is responsible for the day-to-day operational coordination that keeps the President & CEO’s schedule, meetings, travel, and external engagements running smoothly—and ensures high-priority follow-ups are tracked and completed.

Reporting to the Chief of Staff, the Special Assistant provides support to the President & CEO and helps coordinate across CEPA teams and external stakeholders. The ideal candidate is dependable, detail-oriented, adaptable, and a strong writer, with sound judgment and a high level of professionalism when handling sensitive information. A demonstrated interest in transatlantic relations is preferred.

Key Responsibilities
  • Manage the President & CEO’s calendar and scheduling workflow, including internal and external meetings, briefings, and events, aligned with priorities set by the Chief of Staff;
  • Coordinate meeting logistics (agendas, prep timelines, attendee confirmations, materials distribution, and follow-ups) for Executive Office engagements;
  • Draft and edit executive materials—including correspondence, briefing memos, talking points, and internal updates—at the direction of the Chief of Staff.
  • Support external engagement operations by coordinating scheduling, preparing briefing packets, and facilitating timely follow-up for partner, donor, embassy, think tank, corporate, and government-facing meetings (without serving as the primary relationship owner).
  • Maintain accurate records in a CRM/contact database, including engagement notes, next steps, and stewardship tracking; produce concise internal summaries as needed.
  • Arrange domestic and international travel for the President & CEO, including itineraries, accommodations, and meeting logistics.
  • Support board and leadership meeting logistics by coordinating schedules, compiling materials, tracking deadlines, and ensuring timely circulation—under the direction of the Chief of Staff.
  • Anticipate issues and keep work streams moving by flagging conflicts, identifying gaps in preparation, and escalating decision points to the Chief of Staff when appropriate.
  • Handle sensitive information with care and represent the Executive Office with professionalism, responsiveness, and strong interpersonal judgment.
  • Draft social media posts for the President & CEO.
Qualifications:
  • One to two years or more of relevant experience supporting senior leadership in a fast-paced environment (executive office, policy, government, nonprofit, international affairs, or comparable); internships qualify
  • Demonstrated experience managing complex scheduling and logistics (calendar management, meeting coordination, and domestic and international travel planning)
  • Experience supporting external engagement workflows (partners, donors, embassies, corporate/government stakeholders) through coordination, preparation, and follow-through
  • Exceptional organizational skills and attention to detail
  • Ability to edit and write quickly and clearly, including drafting correspondence, briefing memos, and talking points
  • Ability to multitask in a fast-paced, often changing environment
  • Ability to work independently and within a team across the organization
  • Strong problem-solving skills and sound judgment
  • Advanced working knowledge of Microsoft Office, especially Outlook, Word, PowerPoint, and Excel
  • Comfort learning and using tools for CRM/contact management (e.g., Salesforce or comparable databases) and maintaining accurate records and follow-up tracking
