The Records Management Specialist
- Supervisor provides oversight and manages the implementation of a records management program for a government agency to ensure that adequate and proper documentation is maintained throughout the record life cycle. In addition, the Records Management Special
- Supervisor will supervise other designated contractor staff supporting the same federal division.
- Records Management:
- Oversee and manage the implementation of the records management program.
- Oversee the tracking of records and information assets throughout the records' lifecycle (from receipt to disposition).
- Create processes and procedures in support of records and information management agency requirements.
- Develop processes for large scale records collections, scanning and data entry.
- Oversee the capture of paper records by scanning digital form.
- Provide weekly/monthly analytical reports on activities.
- Conduct quality control of document image results.
- Ensure that all work adheres to agency/department standards for correctness and quality.
- Devise and implement processes to catalog records data into a content management system (ACF Records Management System).
- Supervisory duties:
- Act as mentor and provide training and technical assistance to GDIT contractors supporting records management as well as other similar cross functional areas.
- Performance Management and Onboarding:
- Monitors and supports the progress of individual team members on an ongoing basis to ensure that the team is supported and meets all expectations and timelines.
- Provides updates and new guidance to the team as needed per division requirements.
- Provides technical assistance to team members as needed.
- Provides training for new staff on all elements of the division's programming and GDIT processes.
- Monitors program areas being supported by GDIT staff and provide suggestions on process improvement when applicable.
- Provides oversight of the quality of work and deliverables to the customer.
- Monitors staff performance, providing additional training and feedback as needed.
- Completes Performance Improvement Plans (PIPs) as necessary.
- Completes annual performance evaluations and monitors staff's progress towards annual goals.
- Reviews monthly reports; approves and submits consolidated reports as needed.
- Reviews and approve timecards, leave requests, and expense reports as applicable.
- Supports PMO with recruitment efforts including conducting interviews.
- Develops and maintains training materials, job aids, and SOPs to support the team's performance.
- Serves as primary point of contact for stakeholder questions, requests, and concerns related to designated team.
- Requires a BA/BS in a related discipline with at least 5 years of related experience.
- Requires at least 2 years of supervisory experience.
- Ability to work independently and perform complex tasks.
- Experience engaging with records custodians to identify records, capture functions and business process information.
- Ability to ensure and apply proper retention to records in paper and electronic format.
- Experience with Electronic Content Management Systems and/or Recordkeeping Systems.
- Experience with drafting, maintaining and implementing Standard Operating Procedures (SOPs).
- Strong understanding of NARA requirements.
- Strong attention to detail.
- Excellent written and verbal communication skills.
- This position requires an existing MBI T2 Public Trust or the ability to obtain one.
- This role and associated duties will be performed on site at a government facility located in Washington, DC.
