The Ronald Reagan Building and International Trade Center (RRB/ITC) is a dynamic hub for government, business, commerce and the community in the heart of the nation’s capital. As the first and only federal building dedicated to both public and private use, the Reagan Building is the official World Trade Center Washington, DC, featuring a premier conference and events center, executive office space, attractions and exhibits, retail, dining, parking, and public programming.
Trade Center Management Associates (TCMA, A Drew Company), the exclusive manager of the RRB/ITC, is seeking a talented Event Planning Manager to join the Event Planning team.
The ideal Event Planning Manager will apply knowledge of current trends in event management and design to work with our clients—from contract signing, event execution, through client retention—to plan, execute, and manage exceptional events. The role includes meetings, events, conferences, galas, and social events for 50‑3,500 guests.
Essential Functions- Plan and manage events within the client’s budget, timeline, and expectations.
- Collaborate with sales, vendors, clients, and team members.
- Create detailed Banquet Event Orders (BEOs) outlining setup, food, beverage, A/V production, IT, security, and miscellaneous items.
- Review billing and conduct post‑event analysis.
- Conduct site visits, client meetings (in‑person or virtual), event tastings, and be onsite for set‑up, day‑of, and tear‑down as required.
- Work collaboratively with the Sales and Event Planning Team and other departments.
- Support special projects assigned by the organization.
- At least 3–5 years of event planning or hospitality experience.
- Previous customer service, event planning, or hospitality experience preferably in a hotel or large venue.
- Proficiency using a CRM system and diagramming software.
- Strong computer skills with proficiency in MS Office Suite.
- Knowledge of Zoom and Microsoft Teams is a plus.
- Familiarize with assigned events by reviewing contracts and discussing them with the appropriate sales manager before first client contact.
- Ensure proposals, BEOs, and written communication are accurate and delivered within required time frames.
- Maintain clear communication with all departments regarding event details.
- Excellent presentation, organizational, negotiation, and communication skills.
- Ability to upsell, recommend, and coordinate additional services and enhance food and beverage offerings.
- Must be adaptable, professional, courteous, motivated, and able to work independently and as part of a team.
- Knowledge of the DC Metro business community.
- Conduct site visits and maintain familiarity with the building’s capabilities.
- Prepare customized menu proposals as requested by guests in consultation with the Executive Chef.
- Manage multiple tasks simultaneously while delivering exceptional quality and customer service.
