Join Metro as an Event Producer!
We’re looking for a dynamic entry‑level Event Producer to produce and manage all logistics of high‑profile Metro events that showcase our story and represent our brand. This is a fully on‑site position (no hybrid or telework), requiring five days per week in person, with events that may extend beyond standard business hours and into weekends.
As an Event Producer at Metro, you’ll take a hands‑on role in every stage of event production from securing venues, managing vendors, and overseeing logistics to executing seamless event operations as the on‑site lead. You’ll collaborate across Metro including Communications, Government Relations, and Operations to deliver impactful, high‑quality experiences.
This position calls for a strategic, logistics‑driven producer and problem‑solver someone who thrives in fast‑paced environments, adapts quickly, and takes pride in bringing complex events to life.
Minimum Qualifications Education- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field.
- Minimum of five (5) years of experience in event planning, project management, or related roles to include:
- one (1) year of experience working with vendors, managing compliance of contracts, making recommendations about vendors based on ability to meet the needs of the event.
- A valid driver license
- Experience working on regional or large‑scale events in collaboration with multiple jurisdictions.
The Event Producer supports leadership in executing Metro‑led projects and regionally coordinated special events. The incumbent will contribute to Metro’s mission of telling its story and enhancing its reputation by coordinating logistics, managing vendors, and delivering high‑quality event experiences. Event Producers play a pivotal role in the success of Metro’s events, ensuring seamless execution through exceptional organizing and collaborating across Metro.
EssentialFunctions
- Assists in planning and executing high‑visibility events such as ribbon cuttings, groundbreakings, commemorations, and promotional activities.
- Supports the recruitment, training, and management of volunteers for Metro’s Information Person program.
- Assists in the development of scopes of work, event timelines, task lists, and detailed plans to ensure all aspects of events are delivered on time and within scope.
- Coordinates with internal and external employees and stakeholders, including contractors and vendors, to align event objectives with organizational goals.
- Manages contracts and tracks deliverables to ensure vendor performance aligns with expectations.
- Liaises with vendors to secure services and ensure compliance with Metro’s procurement policies. Manages vendors, ensures compliance with all event needs.
- Identifies and secures suitable event venues based on capacity, logistics, and desired goals.
- Serves as the on‑site point of contact during events, managing logistics and troubleshooting issues to ensure smooth operations.
- Tracks and reports event‑related expenses to maintain adherence to project budgets.
- Provides support for invoice processing, purchase card management, and other financial tasks as assigned.
- Collaborates with the leadership to draft event communications, including briefing documents, talking points, and event summaries.
- Collaborates across Metro to include Employee Communications, Media Relations and Digital Communications, Community and GOVR Relations, along with Metro’s Operating teams, Bus, Rail and MTPD.
- Maintains accurate records and documentation for all events, ensuring accessible and organized files for future reference.
- Contributes to the internal public events calendar and tracking tools, providing updates on event timelines and logistics.
