Position: Full Time Scheduling Coordinator - Surgical Services (AM)

Responsibilities

This team is the "air traffic control" for surgery-making sure surgeons, anesthesia, nursing teams, rooms, equipment, and patients all line up exactly on time. GW Hospital's main OR suite includes 14 operating rooms in the primary surgical suite, with additional outpatient/procedural capacity supporting high surgical volume.

Supported service lines can include general surgery, minimally invasive/robotic approaches, cardiac surgery, and outpatient surgery workflows.

Position Summary

The Scheduling Clerk/Coordinator supports daily surgical operations by coordinating case schedules, maintaining accurate surgical calendars, and communicating updates across surgeon offices, perioperative leadership, anesthesia, nursing, sterile processing, and registration/pre-admission workflows. This role is detail-heavy, fast-moving, and mission-critical-when scheduling is clean, everything else runs cleaner.

Main Tasks (Key Responsibilities)
  • Build, update, and maintain OR/procedure schedules; manage changes, add-ons, cancellations, and urgent updates
  • Verify scheduling details (procedure, surgeon, duration, special equipment, implants, patient status, etc.) and resolve gaps fast
  • Coordinate with Pre-Admission / pre-op processes so patients are properly routed and prepared
  • Communicate schedule changes to stakeholders in real time (charge nurses, anesthesia, SPD, PACU, endoscopy/procedure areas as applicable)
  • Maintain scheduling accuracy in the system (case logs, block utilization support, basic reporting/cleanup as assigned)
  • Provide excellent customer service to patients and clinical teams—calm, clear, and solutions-first

Qualifications Required
  • High school diploma or equivalent
  • 1+ year of scheduling, coordination, or healthcare admin experience (hospital, clinic, or procedural setting preferred)
  • Strong computer skills (scheduling systems + Microsoft Office)
  • Ability to multitask and stay accurate under pressure (because surgery schedules change like the weather)
Preferred
  • Experience in perioperative services, surgical scheduling, endoscopy/procedures, or hospital bed/OR management workflows
  • Familiarity with insurance authorization workflows and/or pre-admission testing coordination
  • Epic/ORM, Cerner, Meditech, or similar hospital scheduling system exposure
  • Strong Excel skills (filters, lookups, basic reporting)
